About The Role We are looking for a highly skilled and detail-oriented Proposal Manager to oversee day-to-day proposal operations, manage prime proposals, and supervise the on-time delivery of the department's proposal deliverables. This role reports directly to the Director of Pursuits and will work closely with firm leadership and subject matter experts to coordinate and develop high-quality proposal submissions.
The ideal candidate will have a strong background and experience in managing end-to-end proposal processes, with the ability to manage responses and delegate tasks effectively. This position requires an individual with at least 7 years of industry experience with a comprehensive understanding of public procurement for New York City and New York State agencies.
Role & Responsibilities
Manage the daily output of the Proposal team, providing direction, prioritization, quality control, and mentorship
Lead the coordination of prime proposal efforts, from initial receipt of RFP/RFQ to final submission, ensuring timely and accurate completion.
Collaborate with internal stakeholders, including technical and business development teams, to gather the necessary information and create cohesive, compliant proposals.
Create and maintain proposal schedules, setting clear deadlines and ensuring all contributors meet milestones.
Review, edit, and organize proposal content, ensuring it adheres to the company's style, tone, and formatting guidelines.
Ensure that all proposal components are compliant with client specifications and requirements, and internal quality standards.
Manage communication with clients during the proposal process, including clarifications and additional information requests.
Manage, update, and support the development of proposal materials (e.g., project profiles, resumes, firm profiles) to ensure current, accurate, and readily available information for future use.
Attend proposal-related Client meetings, as necessary.
Assist with tracking and reviewing solicitations for Go/No-Go decisions.
Maintain and enter data into the CRM as it pertains to proposal-related requests.
Skills, Education, And Experience Qualifications
Bachelor's degree in Communications, English, Journalism, Marketing, Business, or a related field.
MUST have experience coordinating prime proposals within the AEC sector
7+ years of experience in proposal coordination, or a related role in the NYC A/E/C industry. Experience working with a subconsultant firm is a plus.
Demonstrated experience managing prime proposals for public sector clients.
Strong writing and editing skills, with an eye for detail. Ability to review and approve work from teammates, acting in an advisory and editorial role.
Experience working with CRM systems, with the ability to manage data entry and organization. Previous use of Deltek Vantagepoint a plus.
Strong understanding of public procurement processes and proposal development best practices.
Familiarity with major New York public agencies is preferred.
Excellent organizational skills and the ability to work both independently and collaboratively.
Ability to multi-task in a fast-paced environment.
Proficiency with Office 365 (particularly Word, Excel, SharePoint, and Teams).
