Employment Type Job Summary The Compliance Specialist is responsible for the day-to-day execution and oversight of the Compliance Program at our Dumfries facilities. This role requires strong attention to detail, integrity, initiative, and excellent time management and interpersonal skills.
Key Responsibilities
Monitor, evaluate, and report incoming serious incidents to the state within 24 hours.
Maintain accurate and up-to-date incident report data.
Conduct on site investigations into serious incidents, including allegations of abuse and/or neglect.
Assist the Director of Compliance in compiling reports, identifying corrective actions, and implementing preventive measures.
Perform root cause analyses and assist with comprehensive reviews where appropriate.
Track incident trends and contribute to data-driven quality improvements.
Quality & Safety
Coordinate the organization and facilitation of Quality Council meetings.
Support the implementation of Mainspring’s safety program by:
Translating safety policies into actionable procedures.
Ensuring completion of regular facility inspections in compliance with safety standards.
Collaborating with Operations to conduct monthly safety drills.
Participating in Mainspring’s Safety Committee.
Training & Compliance Support
Conduct or coordinate required safety and compliance training, including weekly new hire orientation compliance training, for staff.
Assist with licensing and accreditation readiness.
Collaborate with HR to ensure staff compliance with OSHA standards and required training.
Administrative Duties
Respond to incoming medical records requests.
Perform additional duties as assigned in support of organizational compliance goals.
Minimum Qualifications Education / Credentials
Bachelor’s degree in business, healthcare administration, public health, legal studies, or a related field
Experience
2–5 years of experience in a compliance, quality assurance, or regulatory role
Experience working with regulatory agencies or in a heavily regulated industry (e.g., HIPAA, OSHA, CMS, DOJ, OIG, state licensing boards)
Experience conducting internal audits, incident investigations, and risk assessments
Background in healthcare, behavioral health, substance use disorder treatment, or mental health preferred
Knowledge / Skills
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and compliance-related tools
Familiarity with compliance management systems, EHRs (e.g., Kipu, Epic), or document control platforms
Strong understanding of federal and state regulations relevant to the industry (e.g., HIPAA, 42 CFR Part 2)
Excellent attention to detail and organizational skills
Strong verbal and written communication skills
Ability to handle confidential information with discretion
Analytical thinker with problem-solving and root cause analysis skills
Comfortable working independently and collaboratively across teams
Strong ethical judgment and a proactive approach to resolving issues
Ability to train and educate others on compliance matters clearly and effectively
Ability to manage multiple priorities in a fast-paced, remote or hybrid environment
Working Conditions
Full-time
This is an on-site position requiring regular travel between Dumfries locations.
Occasional evening or weekend work may be required, often performed remotely.
