Position Summary The Corporate Hotel Sales Coordinator provides centralized sales and administrative support for a portfolio of hotels while serving as backup sales support for additional properties as needed. This role ensures consistent lead management, reporting, and sales process execution across the portfolio and helps maintain strong response metrics, brand compliance, and revenue optimization. This position works closely with property Sales Managers, Directors of Sales, Revenue Management, and the Vice President of Sales and Marketing to support proactive selling and efficient operations.

Key Responsibilities

Manage incoming group and catering leads in brand systems (Cvent, brand extranets, Delphi/CI/TY, etc.)

Portfolio Sales Support - Provide day‑to‑day sales coordination for an assigned group of hotels.

Prepare proposals, contracts, group resumes, and BEOs as directed by property sales leaders

Maintain accurate account, activity, and pipeline data in CRM and sales systems

Support negotiated account productionon tracking and reporting

Assist with RFP season, account audits, and rate loading coordinationon

Coordinate group blocks, rooming lists, and billing details with hotel operations teams

Ensure brand and company response standards are consistently met

Compile weekly and monthly sales reports and dashboards

Support 100-Point Plan/sales activity tracking and reporting compliance

Assist with the preparation of monthly sales recap presentations and revenue meeting materials

Maintain sales files, contracts, and documentation in shared drives and CRM systems

Assist with and track marketing campaigns, promotions, and special offers as assigned

Assist with database management and list building for proactive sales efforts

Support corporate initiatives, promotions, and brand programs

Corporate & Cross-Property Coordination - Act as a liaison between corporate teams and hotel sales teams.

Backup Sales Support Coverage - Provide temporary support for hotels experiencing vacancies or with

Coordinate multiple-property opportunities and shared accounts when applicable

Assist with onboarding new sales team members and new hotel transitions

Help ensure consistent sales processes and best practices across the portfolio

Monitor and respond to incoming leads for assigned backup properes

Prepare proposals and contracts to maintain response-me standards

Assist with group logistics and communicationon the property support resumes

Ensure continuity of sales operations and client experience

Qualifications

2+ years of hotel sales, catering, or hospitality administrative experience preferred

Experience with hotel CRM, brand systems, and sales reporting tools strongly preferred

Strong organizational and time-management skills with the ability to manage multiple hotels simultaneously

Excellent written and verbal communication skills

Advanced proficiency in Microsoft Office, especially Excel and PowerPoint

Detail-oriented with strong follow-through and problem-solving skills

Compensation $50K - $55K annual salary
