Overview The Fulfillment Specialist will be responsible for managing day-to-day fulfillment operations, resolving order and shipment issues, coordinating with warehouse and vendor partners, and supporting equipment recovery efforts. This position will primarily focus on strong organizational skills, attention to detail, cross-functional communication, and experience with fulfillment and logistics systems, and require the ability to manage multiple priorities, proactively resolve issues, and adapt to changing operational demands to fulfill our mission of empowering families and unleashing potential.
Essential Duties
Monitor daily batch processing, identify and resolve fulfillment errors, correct orders in system and warehouse tools, and initiate rush processing when needed.
Communicate special order requests and status updates with warehouse partners, including Coretek and VTG, to ensure accurate and timely fulfillment.
Create, manage, and resolve reclamation cases for replacement orders while overseeing the recovery of equipment from the field.
Serve as a fulfillment subject-matter resource by responding to inquiries and processing escalated replacement requests from Customer Care and Onboarding teams.
Coordinate equipment recovery logistics with schools, families, shipping carriers, and white-glove service providers, particularly during peak state testing periods.
Send scheduled and ad hoc communications to internal teams, families, and schools regarding order status, misuse, non-returns, and recovery actions.
Maintain, monitor, and distribute fulfillment and reclamation reports, including ShipStation reporting for Accounting and warehouse receiving verification.
Cross-train to provide backup coverage and proactively pivot to support evolving operational needs and strategic priorities as directed by leadership.
This position is a part-time role with the possibility of transitioning to full-time within 6–12 months.
Knowledge, Skills & Attributes
Proven experience working independently with minimal supervision, including the ability to manage a digital task list and maintain a stable remote (home-office) infrastructure.
Minimum of 1–2 years of experience using the Google Workspace suite (Docs, Sheets, Slides, Drive) in a professional or academic setting.
Demonstrated ability to communicate complex ideas via written channels (Email, Google Chat, and Document Comments) with high clarity and low ambiguity.
Access to a private, secure, high-speed internet connection with a minimum of 25 Mbps download and 10 Mbps upload speeds.
1–3 years of experience in fulfillment, logistics, operations, supply chain, or customer support–adjacent roles.
Experience working with order management systems, shipping platforms (e.g., ShipStation), or warehouse management systems.
Experience coordinating with third-party vendors, warehouses, or shipping carriers.
Experience managing multiple workstreams, prioritizing tasks, and meeting deadlines in a fast-paced, remote environment.
Intermediate proficiency in Microsoft Excel, including the use of formulas (e.g., IF, VLOOKUP/XLOOKUP, INDEX/MATCH, COUNTIFS), pivot tables, conditional formatting, and data analysis for reporting and reconciliation.
Basic data analysis skills, including the ability to review, interpret, and reconcile data, identify trends or discrepancies, and use reports and spreadsheets to support operational decision-making.
Strong organizational and time-management skills with the ability to manage recurring tasks, escalations, and ad hoc requests.
High attention to detail with the ability to identify discrepancies, troubleshoot issues, and follow processes accurately.
Education & Certification Requirements
A high school diploma or equivalent (GED) is required for all positions.
An associate’s or Bachelor’s degree in Business Administration, Supply Chain, Logistics, Operations Management, or a related field, is a plus.
