
Events & Communications Manager
The Events & Communications Manager is a professional supervisory position responsible for overseeing the development, coordination, and execution of special events, as well as managing the Village's comprehensive communications strategy. Under the general direction of the Recreation, Arts & Culture Director, this position leads the vision and implementation of elegant, unique experiences and dynamic outreach efforts that exemplify the elegance, sophistication, and community spirit of the Bal Harbour Experience. Illustrative examples of essential duties include: Leading the planning, coordination, and implementation of all special events, public programs, and Village-sponsored activations. Overseeing event logistics including budgeting, contracts, vendor negotiations, permits, staffing, set-up and breakdown, and on-site supervision. Developing and managing the Village's public communications strategy including newsletters, flyers, social media, website content, press releases, and other public-facing materials. Ensuring all communications adhere to brand standards and effectively promote events, services, and initiatives to residents, stakeholders, and media outlets. Supervising and mentoring the Events & Communications Coordinator, ensuring quality execution of assignments, clear delegation of responsibilities, and professional development. Managing the Village's email marketing system, creating effective campaigns and segmenting audiences for targeted messaging. Overseeing updates to the Village website, ensuring content is timely, accessible, and aligned with organizational goals and accessibility standards. Overseeing content creation and scheduling for social media platforms, including Facebook, Instagram, X, and LinkedIn. Maintaining and operating the Village's wireless emergency notification system as it relates to events and public safety messaging. Leading the development and dissemination of all official public communications before, during, and after emergency incidents, ensuring stakeholdersincluding residents, staff, and mediareceive timely, accurate, and accessible information. Developing annual communications and events calendars, monitoring analytics, and preparing reports on engagement, attendance, and feedback. Cultivating sponsorship opportunities and community partnerships to enhance programming and marketing efforts. Serving as lead point of contact for media relations and public inquiries related to events and Village communications. Representing the Recreation, Arts & Culture Department at meetings, special events, and community functions as needed. Coordinating closely with the Village Manager's Office and other departments on community engagement and interdepartmental initiatives. Performing related duties and responsibilities as assigned by the Recreation, Arts & Culture Director. Knowledge, skills, and abilities include: Strong leadership, supervisory, and project management skills. Demonstrated knowledge of event production, budgeting, logistics, and hospitality. Expertise in communications and marketing principles, including campaign development, public relations, and branding. Knowledge of crisis communication strategies, emergency preparedness messaging, and multi-channel public information dissemination during critical incidents. Proficiency with digital platforms including social media, website CMS (e.g., WordPress), and email marketing systems (e.g., Mailchimp, Constant Contact). Graphic design knowledge with working familiarity in Adobe Creative Suite or equivalent. Experience managing print and digital production, including newsletters, brochures, ads, and signage. Ability to work effectively under pressure, prioritize tasks, and meet tight deadlines. Ability to effectively manage budget under area of supervision, and contribute to department's annual budgeting process. Excellent interpersonal, written, and verbal communication skills. Familiarity with municipal operations, public sector communications, and community outreach preferred. Strong analytical skills to interpret data and adjust strategies for continuous improvement. Flexibility to work evenings, weekends, and holidays as needed for events. Education and experience include: Bachelor's degree in communications, event management, public relations, marketing, public administration, or a related field. Minimum of three (3) to five (5) years of progressively responsible experience in event planning and/or communications. At least one (1) year of supervisory experience preferred. Experience in government or nonprofit settings is highly desirable. Bilingual in English and Spanish is preferred. Licenses, certifications, and registrations include: Valid Florida Driver's License required. Must obtain First Aid and CPR/AED basic training certification within 90 days of hire. Must obtain OSHA 10-hour General Industry certification within six months of hire. Essential physical skills include: Frequent walking, standing, lifting, reaching, and moving event materials. Ability to lift or carry weight of up to 30 pounds. Use of hands and fingers for equipment and computer operation. Visual acuity for reviewing documents, digital design, and event oversight. Ability to work in indoor and outdoor environments and various weather conditions. Environmental conditions include: Must maintain a flexible schedule, working some evenings, nights, weekends, and holidays. Must be able to work indoors and outdoors in various weather conditions. Employee will be required to set up and break down events, interact with the public, work across departments, and communicate effectively with all parties involved in the event planning process. Supervision received includes: Employee works under the direct supervision of the Recreation, Arts & Culture Department Director. Directly supervises the Events & Communications Coordinator, and oversees volunteers, contractors, and event-specific personnel.
