Duties

Facilitates scheduling/duties for 3 permanent substitute teachers hired by the district and all outside substitute teachers assigned to MHEA teachers during their absences on a daily basis.

Daily assignment of permanent and outside substitutes to teacher absences.

Maintain staff attendance log in connection with AESOP and the necessary records for substitutes.

Prepare timesheets and payroll sheets for internal and external substitutes.

Maintain all student fee records and process their payments; cut refund checks; make change as needed, etc.

Maintain student book assignments in-house and with rented Rend Lake College books.

Perform the usual office routines and practices associated with the Principal's Office, including typing, filing, copying, and distribution of the same.

Answer the Main Office phone correspondences and handle incidentals.

Use QuickBooks to balance and write checks from our revolving account and input into SDS.

Use Google Docs and Sheets on a daily basis.

Point of contact for Rend Lake College for rented books for AP courses and their assignments to students.

Coordinate building key request forms, securing Principal approval prior to processing with Operations for official key log records and distribution.

Type daily student announcements and distribute via email and on our school website.

Distribute and route incoming mail and post outgoing mail. Requests postage funds, orders supplies, and schedules maintenance for the postage meter as necessary.

Completes other duties as assigned by the Principal or Administration.

Qualifications

High School Diploma or equivalent required.

A minimum of 1-3 years experience in an office administration or related position.

Must be able to type 60+ wpm.

Knowledge of computer programs including Word, Excel, Powerpoint, Google, etc.

Ability to lift and carry up to 20 lbs.

Ability to push/pull up to 10 lbs.

Ability to communicate to students, parents, and staff in an acceptable/courteous manner.

Must have excellent oral and written communication skills to work with teachers, education support personnel, building administrators, and the general public.

Enforce school regulations and policies in a professional manner.

Ability to maintain good working relationships with fellow employees and pupils.

This is a 10.5 month position. The work hours for this position are 8:00 a.m. to 4:00 p.m. during the school year, 8:00 a.m. to 1:00 p.m. in the summer. The schedule is subject to change with district demands. Overtime is required when requested.
