Compensation: $20.00 - $22.00 hourly (experience-based compensation)

Position Summary:

The Sales Coordinator provides administrative support to the Sales Department. -- including building and assigning inquiries in the sales system; creating files in the turnover process; putting together banquet event orders, reports, and creating the sales schedule weekly. Daily duties include answering telephones, emails, and email RFP's, questions, and direct calls to the appropriate person or taking messages.

Essential Functions

Assist clients with guest room blocks or meeting room rental space

Setting up and maintaining files; keep all files in an organized format

Clerical work in the Sales Department. -- including creating files in the turnover process; putting together banquet event orders and reports; and creating the sales schedule

Answering telephones, emails, and email RFP's, questions, and direct calls to the appropriate person, or take messages

Provide information on the hotel; give site inspections

Ability to show guest rooms; includes knocking, opening, and preparing the room (lights, air conditioner, radio)

During the booking turnover process, distribute appropriate information both internally and externally

Take weekly meeting minutes and distribute accordingly

Create Monthly tracking forms and distribute

Acknowledge all guests and respond promptly to their needs, however busy and whatever time of day

Assist the sales team with amenity forms and guest thank you letters, as needed

Ensure unresolved incidents are reported to the Manager/Supervisor

Familiarity with all hotel services/features and local attractions/activities to respond to guest inquiries accurately

Contribute to the team's success by accomplishing tasks and assisting with projects as needed

Maintain knowledge and compliance with departmental policies, service procedures, and standards

Availability during peak operating times, i.e., Weekends, Holidays, and Special Events

Work as a team member to ensure our guests have the best possible experience

Understand the company's emergency procedures and be able to apply them when necessary

Report any incidents, property damage, or injuries immediately to the Manager/Supervisor

Attend department meetings and training sessions as necessary

Perform various other duties as assigned by the Manager and/or Supervisor

Education and Experience

High School Diploma or equivalent required

1-2 years of hotel experience preferred

Sales and/or catering experience helpful

Skills and Abilities

Should be able to type at least 35 wpm

Excellent written and verbal communication skills

Compute basic arithmetic and mathematical calculations

Organized and detail-oriented

Excellent interpersonal skills

Ability to work effectively in stressful, high-pressure situations while maintaining composure and guest satisfaction

Technically knowledgeable and competent in necessary systems and software: [Outlook, Word, Excel, Delphi, etc.]
