We are seeking a Collections Specialist to join a collaborative finance team and play a key role in managing and improving the firm’s accounts receivable performance. This position requires strong communication skills, exceptional attention to detail, and the ability to work effectively with attorneys, clients, and internal stakeholders. Responsibilities: Oversee the accounts receivable reminder and follow‑up process to support timely collections. Communicate professionally with internal teams and external clients regarding outstanding balances. Conduct client outreach via phone and email, as directed by the Credit Manager, with confidence and discretion. Maintain accurate and current records within the firm’s collections systems and internal files. Secure internal partner approval prior to initiating client contact related to unpaid invoices. Research and resolve billing discrepancies by coordinating with attorneys, billers, and clients, including facilitating corrected invoices when needed. Proactively follow up with clients regarding payment status and outstanding receivables. Track and monitor client payment arrangements to ensure agreed‑upon terms are met. Respond promptly to inquiries related to past‑due balances, providing clear and accurate information. Review payment trends and prepare detailed updates for the Credit Manager to support next‑step decisions. Prepare, analyze, and validate reports prior to distribution to ensure accuracy. Partner with Credit Managers and the Revenue team to recommend and implement process improvements. Participate in semi‑annual reviews assessing collectability of accounts receivable and work‑in‑progress (WIP). Skills: Minimum of 3 years of accounts receivable or collections experience. Prior experience in a law firm or professional services environment is strongly preferred. Proficiency in Microsoft Excel and Word; exposure to Aderant and law firm collections systems such as MiniSoft ARCS2G is a plus. Strong written and verbal communication skills with the ability to interact effectively at all levels. Highly organized, detail‑oriented, and capable of managing multiple priorities. Demonstrates professionalism, sound judgment, and composure in a fast‑paced environment.
