
Sales Intake Specialist/Legal Assistant (Meridian)

The Sales Intake Specialist / Legal Assistant serves as the first point of contact for prospective clients and plays a critical role in evaluating leads, converting inquiries into consultations or signed clients, and supporting the legal team with administrative and case‑opening tasks. This role requires exceptional communication skills, strong attention to detail, and the ability to follow firm policies, procedures, and established workflow systems.
Key Responsibilities Client Intake & Lead Management Lead generation and assisting in growth opportunities through marketing channels and referral partners Assessing case details and scheduling consultations to convert inquiries into retained clientele. Answer inbound calls, emails, online inquiries, and referrals promptly and professionally. Conduct preliminary client screenings to determine case type, eligibility, and next steps. Collect essential client information accurately and enter it into the firm's CRM/case management system. Schedule consultations, follow up with warm leads, and maintain consistent communication with prospective clients. Convert qualified leads into clients by clearly explaining the firm’s services, processes, and value proposition. Maintain intake metrics, call logs, and follow-up tasks to ensure timely lead progression. Sales & Conversion Support Demonstrate strong client service and persuasive communication to help prospective clients move forward in the intake process. Identify client needs and recommend appropriate services offered by the firm. Meet or exceed monthly conversion goals and productivity benchmarks. Track sales performance and participate in regular intake review meetings. Legal Assistant & Administrative Support Assist with opening new client files, including preparing engagement agreements and ensuring documents are signed and uploaded. Collect essential documentation from clients (IDs, records, forms, etc.). Draft simple correspondence, memos, and intake-related legal documents under attorney supervision. Maintain organized electronic files and ensure compliance with firm procedures. Support attorneys with administrative tasks such as scheduling, case updates, and communication with clients. Compliance & Professionalism Uphold confidentiality and protect client information in compliance with ethical and legal standards. Follow firm hierarchies, workflow processes, and established systems without deviation. Maintain a professional and empathetic tone in all client interactions. Adhere to daily task lists, deadlines, and performance expectations. Required Skills & Qualifications High school diploma required; associate or bachelor’s degree preferred. Prior experience in
legal intake, sales, customer service, or law firm administration
strongly preferred. Excellent verbal and written communication skills. Strong organizational skills with the ability to multitask in a fast-paced environment. Ability to follow procedures, checklists, scripts, and established workflows consistently. Comfortable using CRM systems, case management software, Microsoft Office, and digital communication tools. Ability to remain calm, empathetic, and professional when speaking with clients in crisis. Preferred Qualifications Strong sales and/or client intake experience is
highly valued . Experience working in a law firm, particularly in
estate planning ,
personal injury, criminal defense,
or related practice areas is not required, but is a plus. Bilingual or multilingual skills. Familiarity with lead management systems (e.g., Actionstep, Lawmatics, etc).
