Position Summary The CommercialAssistant Property Manager is responsible for the portfolio's operations, physical condition, and financial performance. This individual will maintain a high level of professionalism and flexibility in addressing property management issues, including responding to and resolving tenant and client requests or concerns, as well as providing administrative support for business development.

Essential Functions

Support managers to ensure the highest level of client satisfaction with the Property Management function, and ensure that contractual obligations are being met and expected benefits are realized

At the direction of managers, develop and maintain effective working relationships with client leadership teams, operational teams, landlords, and tenants with the overall objective of enhancing the business relationship within the portfolio

Support managers to establish and maintain standardization and consistency with best-in-class Property Management practices, including financial, physical maintenance, accreditation maintenance, tenant retention, and lease administration processes

Coordinate Property Management reporting per the needs of the client

Manage monthly CMMS reporting and tracking, analyze CMMS data to benchmark operations, and drive improvement

Monitor and foster vendor relationships. Maintain master contracts and ensure correct renewals and pricing.

Perform and document scheduled inspections of facilities per the client's needs or direction

Assist in the management of property budgets with clients’ goals and objectives addressed, track variances, and ensure a smooth recovery process.

Support managers to ensure correct rental rates are in place, manage rent collections, and ensure receivables are kept in check per lease guidelines

Become familiar with tenant leases and budget processes so that document cost avoidance and/or savings within the account can be documented

Other Functions

Support managers to oversee all activities that could impact the uptime operational posture of the facilities

Professional in both dress and demeanor, maintain effective balance between in and out of office activities

Perform other duties as assigned

Proven ability to successfully lead a team

Strong interpersonal and problem-solving skills

Excellent verbal/written communication and presentation skills

Proven record of providing excellent customer service

Technical Skills

Proficiency with the on-demand work request and preventative maintenance documentation process

CMMS experience is a strong plus

Experience with adherence to annual property budgets

High proficiency in MS applications, including Word, Excel, PowerPoint, and Outlook

Abstract and understand lease language to assist the Property Manager with landlord responsibilities, defaults, etc.

Required Knowledge, Skills, Abilities

High School Diploma or equivalent

3+ years’ experience in commercial, office or medical office (excluding residential, hotel experience) property management (operational experience is preferred)

Valid driver’s license

Position Type / Expected Hours of Work This is a full-time, non-exempt position with normal working hours Monday through Friday, working 40 hours per week. However, as business needs arise, after-hours, holiday, or weekend work may be required.

Travel 20% of this position requires travel to the different client locations, mainly local.

Supervisory Responsibilities This position has no supervisory responsibilities.

This job operates mainly in a professional office environment and occasionally onsite at client locations. Must be able to work in hazardous conditions with an attention to maintaining safety standards.

Ability to perform required tasks associated with the position, including, but not limited to, kneeling, bending, squatting, standing, walking, climbing a ladder, walking stairs, and the ability to pick up or carry up to 50.
