Role The Member Relations Coordinator is a key part of the Laredo Chamber of Commerce team that works to acquire new member businesses and retain existing members. This person must deliver excellent customer service, be a self-starter, be a good listener, and be able to work collaboratively. There are occasions when the Member Relations Coordinator will be required to work outside of the perimeters of normal business hours as it pertains to the business of the Chamber of Commerce. Additionally, there will be occasions when the Member Relations Coordinator will be required to perform marketing, meeting planning, and other related duties in support of the overall member development and health of the organization. The Member Relations Coordinator reports to the Executive Director.

General Responsibilities

Membership sales and retention; coordinate membership maintenance programs and events. Responsible for collection & invoicing as well as maintenance of membership database (GrowthZone). This individual will also support other Chamber events and activities.

The Membership Coordinator is responsible for oversight of the member retention plan. The Chamber shall seek a retention rate of 80% or better. The Membership Coordinator is required to attend and participate in all Chamber functions and be actively engaged with the Laredo/Webb County communities. Their active involvement is required to ensure they maintain a prominent and positive presence as a representative of the Laredo Chamber.

Specific Job Responsibilities

Improve member retention of current membership accounts and membership revenue.

Perform prospective activities, including but not limited to research, cold-calling, and scheduled visits.

Successfully on‑board new members, communicate and welcome them, show them how to use the chamber website and services, and invite them to events, and other activities as assigned.

Contact existing members weekly, either by phone or in-person visit, to encourage member engagement.

Serve as an “information source” and resource to members regarding benefits, opportunities, discount programs, events, etc.

Implement a plan with the Membership Council consisting of pre‑planned interactions with members that include phone calls and/or visits.

Coordinate membership events including, but not limited to, Business After Hours, Power Breakfasts, New Member Orientations, Ribbon Cutting Ceremonies, and other Chamber events as directed by the Executive Director.

Assist with general office administration including telephones and other tasks as needed.

Responsible for mailings of welcome/renewal letters, invoicing, and electronic communications utilizing administrative support as needed.

Keep up‑to‑date member records in the member database and coordinate dues billing and/or Chamber events billing and invoicing.

Other Job Duties

Participate as an active member of the Chamber staff, which is a positive and dynamic team dedicated to exceeding customer expectations.

Assist the Executive Director and/or members of Senior Level Chamber Staff with planning and coordination of Chamber signature events.

Oversee Chamber programs and provide administrative assistance to various groups including but not limited to Chamber Ambassadors, Chamber committees, and councils.

Assist with financial aspects of the organization as needed.

Provide timely and accurate reports as required by the Executive Director.

Attend and be actively involved in appropriate Chamber of Commerce events, programs, and organizations including weekly staff meetings.

Provide administrative support to Chamber management when needed.

Daily in‑person attendance and punctuality at work are essential functions of the job.

Other duties as assigned.

Accountability The Member Relations Coordinator is directly responsible to the Executive Director. Performance evaluations will be based on the quality and quantity of work performed, its accuracy, the efficiency with which it is carried out, the employee’s contribution to the overall effectiveness of the organization, and the description of duties listed here. Accomplishment of established goals for the individual employee will also be evaluated.

Mental/Physical/Environmental Factors Maintain emotional control under stress. Regular City of Laredo/Webb County‑wide travel to multiple locations as assigned; moderate lifting and carrying.

Commission Structure To provide an incentive, the Chamber may pay a bonus of up to $4,000/qtr to the Member Relations Coordinator based on the attainment of budgeted quarterly goals.

Qualifications

The ability to work a non‑traditional schedule when needed.

Organized and reliable: can be counted on to work independently and meet work expectations.

Professional demeanor and presentation of self with an outgoing personality.

Excellent presentation skills, both verbal and written.

Excellent face‑to‑face and telephone communication skills.

Strong demonstrated customer relationship and selling skills.

Strong computer skills, familiar with Microsoft Office and/or Google Suite, and financial reporting tools.

The desire to actively support and participate in Chamber functions.

The ability to work in a fast‑paced environment while fostering the values of member relations.

Ability to drive to businesses and appointments in your own vehicle or have a reliable means of transportation.

Strong comfort with Social Media platforms.
