Responsibilities
Administer all extracurricular athletic programs and oversee the development and implementation of the high school athletics program.
Supervise licensed and non‑licensed staff, including Assistant Athletic Directors, coaches, trainers, and support personnel.
Maintain required files and records (player record cards, Aspen‑eligibility, physicals, transfer paperwork, transportation requests, coaching certifications) in accordance with policy, regulation, law, and best practice.
Respond to requests for information from OSA, IHSA, FOIA, Title IX, Law Department, colleges for recruiting, and press releases.
Implement board policies and advise the school administrator on regulatory matters related to athletics.
Assess department needs through consultation with students, staff, and parents, addressing equipment, budgeting, transportation, venue upgrades, and technology.
Evaluate extra‑curricular athletic programs and engage in long‑term planning, including adding or dropping programs, meeting Title IX requirements, and staffing decisions.
Develop and update handbooks, brochures, and policy manuals.
Inform the school community about athletic programs via websites, emails, media, and social media.
>Stay current on research, issues, and regulations related to athletic programs, including academic, racial, gender, and socioeconomic considerations. Develop a grade‑check system for student athletes and ensure eligibility reports and participation lists are submitted weekly.
Develop and update team schedules on all school platforms for public viewing.
Oversee transportation for all team travel and manage a safety plan for every home venue.
Monitor and support academic performance of student athletes, oversee the Individual Study Plan (ISP) process, and provide academic support mechanisms such as study halls, advising, and postsecondary guidance.
Direct and coordinate fiscal operations, including short‑ and long‑term planning, preparation of the school system budget, department purchasing, capital improvements, contract negotiations, and specification development for bids.
Supervise ticket sales, fundraising events, receipt and disbursement of student activity funds, and assistance with hiring and payment of coaching staff.
Guide planning and execution of parent volunteer organizations and create schedules for all departmental operations.
Issue timely announcements of upcoming events and deadlines, schedule and pay officials, athletic trainers, ticket takers, announcers, clock operators, and police for home contests, and hire, schedule, and pay lifeguards for aquatic sports.
Arrange transportation for contest participants, verify athlete eligibility for each contest, and coordinate visiting teams’ needs.
Provide emergency health care and first‑aid treatment, arrange field, gymnasium, and aquatics center practice schedules, including summer programs and non‑school use of facilities.
Manage contracts for contests, coordinate CPS for stadium usage, execute Intergovernmental Agreements with Chicago Park Districts, and oversee facilities maintenance, repairs, and safety compliance.
Support insurance program implementation for school athletes and complete incident reports for injuries.
Resolve conflicts, anticipate potential problems, and coordinate departmental awards, alumni recognition, and beach or other events.
Engage in public relations, establish a positive image within the school and community, interact with feeder programs, and plan annual recognition programs.
Keep records of athletic contests results and award winners, conduct in‑season team meetings, and maintain scholarship announcements.
Provide leadership to foster athletic objectives, support coaching staff through certification compliance, coaching evaluations, and professional development opportunities.
Investigate complaints and grievances and maintain open lines of communication with staff, coaches, and parents.
Qualifications
Bachelor’s degree from an accredited college or university; Master’s degree and/or general administrative endorsement preferred.
NIAAA Registered Athletic Administrator (RAA) preferred.
Minimum of five (5) years of interscholastic sports experience, including at least three (3) years in sports program administration.
Supervisory experience preferred.
Strong communication skills with diverse audiences.
Ability to coordinate and manage all aspects of an athletic program, including financials.
Ability to motivate student athletes and coaches.
Capacity to make rational decisions under stressful conditions.
Proficiency in technology and applications (Microsoft Office, Google Suite, web content editing software).
Non‑traditional schedule required – evenings and weekends based on school needs; hours may change seasonally.
Requirement to establish and maintain Chicago residency within six months of hire and throughout employment.
Conditions of Employment Employees must maintain Chicago residency within city boundaries and comply with all CPS policies and federal regulations affecting athletics.
