The Opportunity We're hiring an Operations Specialist to own the backend operations-systems, measurement, and logistics-that keep the portfolio running for Auth0's Strategic Programs and Communications team. This role is ideal for someone who enjoys operational work, takes pride in maintaining clean, reliable processes and systems, and is also excited to evolve how the team operates by leveraging AI thoughtfully. You'll be expected to experiment with and use AI-enabled tools and automation, identify repeatable work that can be streamlined, and help deliver practical, AI-forward workflow improvements that increase speed and accuracy.

You will act as the operational backbone for the team's portfolio, responsible for all operational reporting and survey measurement across programs, maintaining the team's core trackers and dashboards, and producing clear, leadership-ready presentations. You'll also administer our program management tooling, oversee knowledge management (Confluence/Google Drive/Asana/Jira), drive procurement workflows, track onboarding completion, and manage Jira automations.

What you’ll be doing

Own

portfolio operations

and routine backend work: maintain systems of record, build automations, keep trackers current, and ensure follow-through across deliverables

Own program

measurement and reporting

end-to-end: build and maintain dashboards and trackers, run surveys and feedback cycles, analyze results, and deliver clear post-program readouts

Identify high-volume, repeatable workflows and deliver

AI-enabled improvements

from pilot to rollout, with clear success measures

Maintain

hiring data

and related dashboards, providing regular insights and reporting with strong data integrity and clear status visibility

Own

new hire onboarding operations , including LMS administration, completion tracking and reporting, maintaining onboarding tooling and workflows, building and administering Jira automations, and driving continuous improvements as needed

Administer and improve the team's work management practices, including portfolio hygiene, templates, and governance across tools such as Asana

Own

knowledge management

across internal knowledge bases and shared drives: structure, taxonomy, audits, assets, and keeping information current and easy to find

Run and continuously improve

procurement workflows , including intake, approvals coordination, tracking, and documentation

Provide

event operations and logistics support

for key moments (virtual and in-person), including run-of-show management, registration workflow tooling, badge quality checks, audio-visual coordination, and on-site operational troubleshooting as needed

Create

visually polished

slides and reusable templates for reporting, operating updates, and quarterly program review support

Identify process gaps and implement

improvements

using automation and AI, where it adds leverage and reduces manual work

Travel

~15% of the time, including international, to support key programs and events

What you bring to the role

Experience in business, program, or enablement operations, with ownership of repeatable workflows and strong execution quality

A high-detail, systems-oriented approach; you enjoy repetitive backend work and take pride in accuracy and follow-through

Strong capability in

data collection and reporting , including survey-based measurement, data cleanup, analysis, and synthesis into clear insights. Tableau, Survey Monkey, and Qualtrics experience is a bonus.

Advanced

Google Sheets

skills for dashboards and trackers; automation experience such as Apps Script, Zapier, or Make is a strong bonus

Comfortable and fluent with

AI tools , including using AI-powered

automation

and

agent-based workflows

to streamline workflows, reduce manual effort, and continuously improve operational processes, where appropriate

Demonstrated ability to experiment, evaluate, and roll out new processes or AI-enabled workflows, including documenting changes and tracking impact (time saved, error reduction, adoption)

Strong

Google Slides

design skills, including the ability to design clean, consistent, visually compelling decks and templates

Hands-on experience with program management tools such as

Asana

and

Jira , including maintaining standards and improving adoption

Experience owning or administering

knowledge management , including structure, governance, and content hygiene

Comfort supporting

procurement workflows , coordinating approvals, and maintaining accurate tracking and documentation

Excellent written and verbal communication; prompt, proactive, and collaborative

Demonstrated discretion and trust in handling sensitive and confidential information.

Strong status management: you communicate progress, risks, and next steps clearly and consistently

Ability to multitask and operate under pressure in a fast-paced, remote environment

Ability to navigate ambiguity, learn quickly, and take initiative with minimal oversight

Below is the annual base salary range for candidates located in California (excluding San Francisco Bay Area), Colorado, Illinois, New York and Washington. Your actual base salary will depend on factors such as your skills, qualifications, experience, and work location. In addition, Okta offers equity (where applicable), bonus, and benefits, including health, dental and vision insurance, 401(k), flexible spending account, and paid leave (including PTO and parental leave) in accordance with our applicable plans and policies. The annual base salary range for this position for candidates located in California (excluding San Francisco Bay Area), Colorado, Illinois, New York, and Washington is between $86,000—$118,800 USD.
