JAZZ HOUSE KiDS stands at a pivotal moment, marked by substantial growth, expanding impact, and exciting developments across our organization. Job Summary The
Donor Relations + Membership Associate
is a key member of the Development Department, reporting to the Director of Development. This role manages day‑to‑day handling and care of our generous donors, including membership operations, supporting donor stewardship, and assisting with corporate sponsorship fulfillment, ensuring accurate CRM tracking, timely renewals, and benefits delivery. The Associate coordinates event ticketing and development campaigns, collaborates across teams, and creates and executes Development Department materials, including decks, proposals, and event collateral, to communicate the organization’s mission and impact. This is an opportunity for a creative, detail‑oriented, relationship‑driven professional to grow the donor base and advance JAZZ HOUSE KiDS ’ mission of building young community leaders and global citizens through jazz.
Key Responsibilities Donor & Membership Engagement
Serve as primary point of contact for members and select individual donors
Oversee membership sign‑ups, renewals, benefit fulfillment, and acknowledgments
Maintain accurate records in CRM and Google Sheets; ensure data integrity
Track renewal timelines and implement strategies to increase retention and upgrade rates
Resolve donor and member inquiries with professionalism and discretion
Conduct research on donors and giving trends to support cultivation efforts
Corporate Sponsorship Support
Assist with preparation of sponsorship decks, proposals, and outreach materials
Coordinate sponsorship benefit fulfillment (branding, recognition, tickets, activations)
Track sponsorship agreements, pipelines, and renewal timelines in CRM
Support preparation of impact reports and stewardship materials
Conduct research on prospective corporate partners
Events & Campaign Support
Oversee event ticketing and RSVP processes
Support coordination and implementation of fundraising events
Project manage membership campaigns and development initiatives using Asana
Assist in preparation of donor solicitation and campaign materials
Development Operations Support
Maintain Development Department and membership calendars
Coordinate cross‑departmental fulfillment with Marketing, Finance, and Arts teams
Assist with donor reporting and board materials as needed
Responsible for the creation and execution of Development Department materials, including presentation decks, briefing documents, proposals, and collateral for donor meetings, sponsorship outreach, campaigns, and events
Other duties as assigned
Other Activities:
Support various Parent, Advisory and Board Committees as directed
Manage other duties, as assigned
Oversee volunteers who may support the membership program.
Provide occasional back up support for gifts processing
Skills, Knowledge & Expertise
Bachelor’s degree or equivalent experience
Minimum three (3) years experience as part of a Development or Communications team preferred, or relevant customer service and communications experience; experience in membership programs or events at arts or cultural institutions is a plus
Must be able to attend weekend and evening events as necessary
High proficiency in Google Suite and MS Office (MS Excel, MS Word and MS Power Point), with the ability to mail merge and manage data.
Experience with project management software such as Asana and CRM database systems, such as Asana
Exceptional verbal and written communication skills with the ability to listen and effectively express ideas and thoughts; able to interact at the highest level with a wide range of constituencies
Excellent time management, organization, problem‑solving and research skills with strong attention to detail and discretion
Problem‑solver with the ability to multitask, establish priorities, and react when those priorities shift; perform under tight deadlines in a very fast‑paced environment
Ability to work as part of a small team in a fast‑paced and challenging atmosphere
Ability to lift up to 25 lbs.
Must provide own transportation to Montclair, NJ
Successful completion of a national background check
