Holt Truck Centers - Sales Administrator

The Sales Administrator I provides essential administrative support for truck and trailer sales and lease transactions. This entry-level role performs daily transactional tasks, maintains accurate documentation, assists Sales Representatives, and supports funding, titling, dealer systems, and compliance functions under close supervision. The incumbent in this position is expected to model the following practices daily: 1) Demonstrate alignment with the company's vision, mission and values. 2) Collaborate with key internal/external resources. 3) Participate in ongoing self-development. Essential Functions: Models HOLT's Values-Based Leadership (VBL)

and supports internal and external customers, including Sales Representatives, throughout new and used truck and trailer transactions. Manages inventory setup , including running manufacturer invoice reports, importing invoices/MSOs, creating stock numbers and unit records in HOLT CRM, and preparing unit jackets. Maintains organized and audit-ready files , scanning completed deal packets into eManager and ensuring accurate documentation. Supports DMV regulatory processes , including title and registration transfer work, monitoring license plate inventory, submitting reorder requests, and staying current on DMV requirements. Collects and verifies truck deal documentation , works with Sales Representatives to complete deal packets, processes Vehicle Inventory Tax (VIT), and issues approved purchase orders. Invoices deals

in accordance with established procedures and approvals. Demonstrates professionalism , maintaining punctual attendance, adhering to all safety and company policies, and performing other duties as assigned. General Sales Support , performs various functions to support the sales team. Receives support

from more senior team members to complete core job functions. Knowledge, Skills, and Abilities: Basic to intermediate knowledge of medium/heavy truck operations, business accounting principles, and dealership administrative processes. Proficient in Microsoft Office with the ability to learn dealership systems and manufacturer portals (DBSi, CDK, Procede, eManager, etc.). Strong attention to detail, data accuracy, and exceptional organizational, time-management, multi-tasking, and independent work skills in a fast-paced environment. Education and Experience: High school diploma or equivalent required 2 years administrative or dealership experience preferred Supervisory Responsibilities: None Travel: Up to 5% travel may be expected Physical Requirements: This position involves extended periods in a stationary position; additionally, occasional movement inside the office to access office machinery, file cabinets, etc. This role frequently communicates with others, must be able to exchange accurate information in these situations This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines Work Environment: This job is generally performed in a professional office environment, in environmentally controlled conditions Occasionally works outdoors and may be exposed to weather extremes conditions that include inclement weather, heat, cold, and humidity Frequently works at a fast pace with unscheduled interruptions Disclaimer: Please note that the above statements are intended to describe the general nature and level of work being performed by employees assigned to this classification.
