
Job Title: Service Writer
Job Description
Acting as the primary point of contact for repair and service customers, both walk-in and phone, this role coordinates with the shop foreman in diagnosing repairs and gathering necessary diagnostic information. Responsibilities include writing up repair/service shop quotations and presenting them to customers. The service writer is also responsible for writing shop work orders based on gathered information and diagnostic consultations. Additionally, the role involves ordering service-related parts, tracking their availability, and scheduling repairs. The service writer integrates the service repair schedule with the shop production schedule in consultation with the General Manager.
Responsibilities
Write up repair/service shop quotations and present them to customers.
Coordinate with the shop foreman in diagnosing repairs and gathering diagnostic information.
Order service-related parts through the parts department and track their availability.
Assign repair parts to individual orders and schedule repairs.
Integrate the service repair schedule with the shop production schedule.
Responsible for final costing of completed repair work orders in conjunction with the General Manager.
Present final repair costs to customers often in collaboration with the shop foreman.
Check the final repair product for quality control and order accuracy in collaboration with the shop foreman.
Interact with end-user customers upon delivery to explain work orders and arrange payments.
Bill all CTE warranty, both repair and truck equipment.
Interact with customers to minimize complaints and liaise with OEM as needed.
Research and understand factory warranties and write work orders accordingly.
Document repair orders with repair dialogue to justify costs and coordinate with costing clerk for final billing.
Order shop supplies as needed and ensure stocking levels are maintained.
Essential Skills
Automotive repair knowledge
Customer service expertise
Typing and data entry skills
Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook
Strong attention to detail and organizational skills
Effective written and verbal communication skills
Additional Skills & Qualifications
Several years of clerical, administrative, or customer service experience in a service or technical environment.
Ability to master in-house proprietary software.
Experience with pricing analysis, ordering, and work orders.
Knowledge of mechanical, automotive mechanic, ASE, truck equipment, and truck equipment certifications.
Familiarity with hand tools and power tools.
