The Wedding Sales & Event Coordinator oversees the day-to-day operations of the sales and event planning department. The Wedding Sales & Event Coordinator manages all wedding, rehearsal dinner, shower, and wedding-related events. The scope of this position includes managing all prospect leads, event planning & implementation of event details, inbound & outbound sales calls, dissemination of accurate & timely information, scheduling & conducting meetings with clients, managing Event Coordination as the client-to-team liaison, demonstrating expertise in all business facts, website, public content, seasonal menus, packages, and pricing. The Wedding Sales & Event Coordinator manages databases & calendars, has excellent problem solving skills, record keeping, written/verbal communication skills, impeccable internal & external client interfacing, maintains vendor relationships, explains the company’s views, brand, menus, products & services while driving the company’s sales & revenue goals, attends Leadership meetings & community events, and other duties as assigned.

The Wedding Sales & Event Coordinator is a steward of the brand, The Kitchen, and upholds all handbook policies and event standards. This position manages the details & embraces the big picture, loves the event, finds their way to ‘yes’, follows through with pride, asks ‘the question’ & upholds a One Team, One Dream work culture. Here, events are defined as any occasion the facilities have been rented/donated or off-site services have been requested by a client.

Primary Responsibilities:

Managing Leads & Event Details

- Implement the entirety of the event planning process, including responding to leads, working with clients to gather event details, establishing timelines & managing event revenue. Accurately record and disseminate event details or considerations in a timely manner to other departments to achieve a cohesive representation of the envisioned event.

Inbound & Outbound Sales Calls

- Respond to inbound sales calls and support outbound sales strategies to achieve the company's monthly and annual sales goals, report on the ROI for these strategies, and manage all prospect leads.

Client Meetings & Event Coordination

- Schedule and conduct site visits or meetings with prospective clients to help close sales. Perform Event coordination duties for key events as the brand ambassador and event liaison between the client and our team.

Expertise with Business Facts, Website, Public Content

- Have extensive knowledge of all business facts, website navigation & public communications (newsletters, direct mailings, etc), public content (such as the calendar of events, number of seatings remaining, etc.)

Expertise in Seasonal Menus, Packages, Pricing

- Have extensive knowledge of all seasonal menu offerings for food & beverages, all packages, and relevant pricing details.

Database & Calendar Management

- Utilizing company technology, manage the data entry, accuracy, and integrity of our client databases and internal calendars.

Problem Solving

- Develop innovative solutions for unique client needs, navigate business best practices, and coach clients toward successful event outcomes. Identify potential service, timeline, or other event-specific issues - troubleshoot possibilities and alternative outcomes with our team.

Internal & External Client Interfacing

- Demonstrate a passion for hospitality and drive guest engagement while developing authentic relationships within the community. Ensure a flawless guest experience from start to finish—high-level interactions with people of diverse socioeconomic, cultural, disability, and ethnic backgrounds.

Record Keeping / Written & Verbal Communications

- Ensure all records, data entries, written and spoken communications are accurate and conducted with intentionality and business focus. Proofread all internal/external content and correspondence prior to sending to ensure clarity and prevent confusion.

Meetings & Information Dissemination

- Participate in Leadership meetings to evaluate event details to ensure they are understood, pre-planned, can be executed to our level of brand standards, and are a good fit for our revenue model and business needs. Demonstrate strong communication and reporting procedures to guide exceptional service implementation. Foster clear, open communication between clients & team.

Attend Community Events

- Be an ambassador for the company in the community to maximize brand exposure.

Uphold Brand Standards & Policies

- Be an expert on all company brand standards and policies to represent business needs or expectations with clients adequately.

Requirements:

2-3 years of experience in a similar role with direct

wedding

sales & event coordination experience

High School Diploma or equivalent required, college degree preferred

Flexible Availability: This position requires availability on nights and weekends

Excellent skills with all required technology, computer, and data programs

Excellent knowledge base of menus, packages & current industry trends

Excellent copywriting and verbal communication skills

Excellent attention to detail and organizational skills

Exceptional work ethic with motivational leadership ability

Exceptional customer service

Creative with the ability to quickly resolve conflicts or problems

Required Hours = (Full Time) 40+ hrs/wk - Flexibility of scheduled hours: required to work days, nights and/or weekends

PTO 96 hrs - Renews on hire date and does not carry over

Paid Holidays = New Years Day, MLK Day, Memorial Day, Juneteenth, 4th of July, Labor Day, Thanksgiving, Christmas

Full Health Benefits = Health, Dental, Vision (50% paid by The Kitchen)

Mileage Reimbursement = Paid for delivery shifts (70 Cents / Mile)
