Order Operations & Supply Chain Analyst (B2B Order Management) Position Overview We are seeking a detail-oriented
Order Operations & Supply Chain Analyst
to support accurate and timely execution of B2B customer orders. This role serves as the first line of intake for order-related issues, performing transactional corrections, data analysis, and coordinating cross-functional resolution across Operations, Supply Chain, Finance, and Customer teams.
The position plays a critical role in improving order execution reliability while reducing reactive workload for supply chain leadership. The ideal candidate understands how the ordering lifecycle flows from order intake through fulfillment and revenue realization.
Schedule:
30–40 hours per week Workload:
Heaviest Monday–Wednesday aligned with weekly B2B order cadence.
Key Responsibilities
Review weekly incoming B2B orders in SAP and Amazon Vendor Central.
Monitor iDoc reports regularly to identify order transmission issues.
Diagnose and resolve sales order and delivery discrepancies through:
SAP navigation and transactional corrections
Data validation and reconciliation
Cross-functional coordination
Escalate non-standard or high-risk scenarios to Operations leadership.
Issue Triage & Resolution (Order Disputes)
Act as first-line owner for all order-related issues and escalations.
Perform triage and root cause analysis for disputes, shortages, de-listings, and execution issues.
Support Accounts Receivable with documentation for shortage claims and Proof of Delivery (POD).
Process credit and debit notes following approval workflows.
Track issues through resolution and escale when necessary.
Raise disputes with customers using defined customer processes.
Maintain ownership until closure with clear stakeholder communication.
Customer & Internal Coordination
Interface with customer operations teams (e.g., Walmart, Walgreens, Amazon).
Provide order status updates and escalation communication between departments.
Support Sales, Finance, and Operations with order analysis and investigations.
Maintain clean documentation and audit trails.
Manual Order Intake
Enter manual orders in SAP when automated channels are unavailable.
Coordinate readiness across Operations, Finance, IT, and customer teams.
Identify process gaps and recommend improvements.
Amazon Vendor Central Management
Manage manual routing of Vendor Central orders to 3PL partners (Arvato).
Resolve confirmation issues, shortages, cancellations, and resubmissions.
Maintain KPI performance:
PO confirmation within 24 hours
Orders ready to ship within 3 business days
Partner with 3PL providers to investigate execution issues.
Process Ownership & Escalation
Execute transactional fixes within established SOPs.
Create or update SOPs as processes evolve.
Proactively follow up and escale across cross-functional teams.
Required Qualifications
Experience supporting Operations, Order Management, or Supply Chain processes.
Strong understanding of order-to-cash or fulfillment workflows.
Advanced Microsoft Excel skills (Pivot Tables required).
Strong interpersonal and cross-functional coordination skills.
Excellent proactive communication abilities.
Experience working in ERP systems (SAP strongly preferred).
Preferred Qualifications
Experience with Amazon Vendor Central or large retail customers.
Data proficiency with tools such as Power BI, Tableau, SQL, or Python.
Experience supporting B2B order execution or dispute resolution environments.
