You serve as the primary point of contact for day-to-day office needs, broker support, and on-site coordination—ensuring the office runs smoothly while helping drive active transactions forward.This role is ideal for someone who is highly organized, proactive, and comfortable being the go-to person for everything from office operations to transaction administration. You’ll support a group of brokers while also acting as the local liaison for property management, vendors, and internal teams.**In this role, you will:*** Serve as the primary administrative and operational point of contact for the office* Manage day-to-day office operations, including ordering supplies, coordinating vendors, and addressing facility and property management needs* Coordinate meetings and office events, including scheduling and catering/lunches* Support brokers by drafting initial transaction documents, including Letters of Intent (LOIs), Purchase Agreements (PAs), and Lease Proposals* Assist with due diligence coordination and deal close-out activities* Prepare tour books, property summaries, marketing packages, proposals, and presentations* Conduct market research and property data analysis using CoStar, MLS, and internal systems* Collaborate with internal teams (Marketing & Research) to produce and distribute marketing materials* Anticipate operational and transaction needs and proactively manage deadlines and deliverables* Act as a liaison between brokers and internal departments* Handle inbound inquiries and ensure timely, professional communication* Balance multiple projects simultaneously while tracking action items across the team**What you bring:*** 2+ years of relevant experience* Commercial real estate experience is a strong asset* Proficiency in Adobe Creative Suite, especially InDesign, is a plus* Advanced skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)* Experience with CoStar, LoopNet, and other industry platforms a plus.* A keen eye for detail and a commitment to proofreading and producing polished work* A proactive, assertive approach — you’re not afraid to ask questions, seek clarity, and take initiative* Strong written and verbal communication skills, with the confidence to interact across teams* A genuine eagerness to learn, grow, and immerse yourself in the business* A collaborative mindset and the drive to become an integral part of a high-performing team* Team-oriented with a positive attitude and service mindset.* Comfortable in a fast-paced, deadline-driven environment*Pursuant to state/local law, Colliers is disclosing the following information:**Approximate Hourly Range for this Role: $25.10/hour to $36.06/hour**Our hourly ranges are determined by role, level, and location. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations.
