
The Front Office & Marketing Assistant supports daily office operations and property marketing initiatives by delivering exceptional customer service, maintaining an organized and efficient office environment, and assisting with marketing tasks across multiple properties.
Front Office & Administrative Support Responsibilities:
Provide courteous, professional, and timely assistance to tenants, customers, and employees
Greet visitors, determine the purpose of their visit or call, and direct them to the appropriate team member or venue contact
Manage employee parking access cards, deliveries, and maintenance requests
Maintain inventory of office supplies and ensure items are restocked as needed
Restock kitchen and pantry items throughout the day; ensure counters are clean and maintained
Replenish paper at copier stations and keep copier areas neat, organized, and fully supplied
Manage postage meter operations and maintain required mailing/shipping supplies
Submit copier meter counts to vendors
Sort and distribute incoming mail daily
Coordinate messenger services, certified mail, and office maintenance vendors
Manage utility service start‑ups and shut‑offs in coordination with utility providers
Support the General Manager and Facility Manager in managing service contracts and certificates of insurance
Support workspace changes including employee relocations, onboarding, and offboarding
Assist with catering orders for meetings/events, including delivery coordination, set up, and clean up
Provide general clerical support to the Pointe Orlando team (Word & Excel documents, filing, mailing)
Work independently and collaboratively on both recurring and special projects
Marketing Support Responsibilities (Pointe Orlando, Block 59, LaCenterra at Cinco Ranch, Roosevelt Mall & Wynnewood Village):
Update website and digital event platforms for property events
Assist with drafting and distributing tenant communications
Maintain distribution lists (media contacts, tenant lists, property blog, email/text subscriptions)
Order and track event supplies
Maintain monthly Pointe Orlando tenant private group events tied to conventions and quarterly spreadsheets for Leasing
Track quarterly metrics for measurement and reporting
Oversee vendor agreement entry and tracking in Salesforce, ensuring timely execution and insurance documentation
Draft and distribute new tenant overviews upon lease execution
Create new vendors in Nexus
Organize and maintain marketing folders and documentation
Support special projects, events and other duties as needed
Position Requirements:
Ability to work in-office five days per week
Ability to work alternate hours (evening or weekend) if needed for Pointe Orlando events
Experience in a professional environment, with strong ability to represent Brixmor in all communications
Excellent customer service skills and the ability to respond promptly and courteously to requests
Strong communication, teamwork, and decision‑making skills
Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
Ability to manage multiple tasks and projects simultaneously
Strong attention to detail, time management, and personal initiative
Ability to work independently while collaborating effectively across all levels of the organization
