Intake Specialist (Entry Level)
Position Summary The Intake Specialist plays a critical role in supporting patient services by ensuring accurate and timely intake of referrals, documentation, and patient information. This position requires strong attention to detail, customer service skills, and the ability to work across multiple systems while collaborating with patients, referral sources, internal teams, and leadership.
Key Responsibilities
Accurately enter patient referrals within established productivity and quality standards
Communicate with referral sources, physicians, and associated staff to ensure documentation is complete and routed appropriately
Review medical records to ensure payer and compliance standards are met prior to services being rendered
Demonstrate strong knowledge of payer guidelines to determine patient qualification and compliance for services and equipment
Communicate with patients regarding financial responsibility, collect payments, and document appropriately
Collaborate with leadership to ensure proper inventory and services are selected
Coordinate with insurance verification teams to ensure accurate patient information and payment processing
Navigate multiple EMR and online systems to obtain and document required information
Work with sales teams and referral partners to secure compliant documentation and support referral relationships
Answer inbound phone calls promptly and assist patients and referral sources professionally
Follow company procedures for shipping and delivery of services
Provide updates to patients when documentation does not meet payer requirements and offer alternative options
Participate in on‑call rotation during non‑business hours as required
Hours 8:30am-5:00pm Mon-Fri - FULLY ONSITE
Required Skills
2+ years of administrative healthcare experience
2+ years of experience in healthcare administration, insurance verification, billing, claims, or medical record
Strong verbal and written communication skills
Excellent attention to detail and organizational skills
Ability to multitask and prioritize in a fast‑paced environment
Analytical and problem‑solving skills
Proficiency with Microsoft Office and comfort learning new systems
Ability to work independently while following detailed procedures
Preferred Qualifications
Familiarity with EMR systems and healthcare documentation workflows
Experience working with Medicare, Medicaid, or insurance‑based healthcare services
Background in pharmacy, HME, medical supplies, or healthcare services strongly preferred
Education & Experience
High school diploma or equivalent required
Associate’s degree in Healthcare Administration, Business Administration, or related field preferred
Entry Level:
Minimum of 1 year of related work experience (customer service, call center, healthcare admin, or insurance‑related roles)
