Position Summary The Order Entry Specialist will work in a team environment to process orders with a high degree of accuracy and efficiency. This person will share a variety of responsibilities with the team including the entry of data into our ERP system, client portals, the collection of order payment for customers without terms, providing freight quotes, qualifying order details, and solving order related problems. This person will work with the internal sales department as well as our customers and will need to do so with a high degree of professionalism in their written and verbal communication skills. This is a high-paced work environment that requires adaptability to changing work demands and requires overtime periodically to meet business demands.

Reporting Relationships The Order Entry Specialist will report to the Order Entry Supervisor.

Location This position will be based in Hialeah, FL.

Essential Duties & Responsibilities

Enter orders into the ERP system with a high degree of accuracy and efficiency

Providing freight quotes, working with logistics on freight quotes for large orders

Send orders to production with complete information and in a timely manner

Check orders for accuracy and update customer orders

Work with internal sales staff and customers to verify all information on the PO is correct and clear up any missing information or inconsistencies

Answering customer inquiries

Work with vendor portals to process orders and update information

Maintain filing systems for the department

Verify order pricing when needed

Send out payment requests and order acknowledgments in a timely manner and follow up per department policy

Collect on prepay orders, call and email customers to inquire on payment status

Work with accounting to resolve payment issues

Run reporting from the ERP system

Assist other team members with department workload

Assist, as needed, with a large volume of emails incoming to the department

Other tasks will be assigned on an as needed basis, such as training

Education and Qualifications

3+ years of Commercial (B2B) collections and data entry experience preferred

Collecting high dollar amounts over $10K

Must be comfortable with verbally communicating to customers regarding payments

Strong follow up cadence & the ability to achieve results using emails and tracking in the system

Strong Microsoft Excel skills

Bilingual English/Spanish is preferred
