As a Corporate Paralegal at Ware Malcomb, you’ll play a key role on our legal team helping manage entity licenses and registrations, corporate governance, and assist with legal technology, workflows, and document management. This position will be essential in supporting our legal operations across the US, Mexico and Canada.
Your Role
Manage a portfolio of global and domestic professional licenses, including architecture and engineering licenses
Prepare and process documents for state and jurisdictional professional licensing
Coordination with outside counsel on the opening, closing, and annual maintenance of global and domestic entities, as well as maintenance of the firm’s registered agent service listing
Facilitate routine entity maintenance and updating corporate information sheets as necessary, as well as maintenance of electronic copies of corporate records and minute books
Act as a liaison with outside counsel, at the direction of Ware Malcomb’s General Counsel, to determine and implement the firm’s licensing requirements
Perform legal and factual research utilizing various sources including the internet, the company’s intranet, and other software and applications, and drafting research results in memorandum format for attorney review
Provide general support for claims and litigation related matters, as well as supporting the litigation hold and e-discovery processes for pending litigation
Collaborate with the legal team to enhance and streamline legal department processes
Provide administrative support to the legal team, including scheduling meetings, handling correspondence, proofreading documents, responding to outside requests for information and managing deadlines
Maintain accurate and confidential records of legal documents, correspondence, filings and reports, ensuring they are properly organized, tracked, and up to date
Qualifications
3+ years of experience providing licensing and/or legal support services, including experience working for an in-house legal team with cross-border operations
Bachelor’s degree or paralegal certificate
Notary public in California or ability to obtain
Solid understanding of corporate governance, risk management and regulatory compliance
Knowledge of professional services industry, specifically architecture and civil engineering firms, a strong plus
Strong attention to detail and meticulousness with legal documents and contracts
Exceptional written, verbal, and interpersonal communication skills
Dynamic, collaborative team player who thrives in a fast-paced environment and easily adapts to shifting priorities
Proficient in Microsoft Office Suite (Excel, Outlook, PowerPoint, SharePoint, Word) and adaptable to learning new technology tools
Collaborative mindset with the ability to work effectively in a team-oriented environment
$69,000 - $95,000 a year
