Position Overview The Operations Sales Coordinator leads the full showroom and project lifecycle, from consultative sales and product selection through installation follow up and final closeout. This role guides clients through selections, schedules measures, prepares pricing, manages projects in Microsoft Dynamics CRM/POS, processes payments, and coordinates deliveries to ensure every job is completed accurately and closed properly.
In addition to overseeing client projects, this position maintains showroom readiness, receives and verifies shipments with forklift training provided, supports walk in customers and special events, and partners with marketing on home shows and outreach efforts. The Operations Sales Coordinator provides team coverage to ensure a consistent five star client experience.
The ideal candidate has experience in retail, design, interiors, flooring, or home improvement, thrives in a high touch and technology enabled environment.
Essential Responsibilities Sales & Client Experience
Welcome clients and guide product selections in the showroom, ensuring accurate order details and proper approvals.
Create and manage quotes and sales orders within Microsoft Dynamics CRM/POS.
Collect deposits, verify pricing, and convert approved quotes into sales orders.
Coordinate dye lot verification with corporate and ensure materials are properly sequestered when required.
Schedule in home measures, communicate service timelines, and maintain five-star satisfaction from quote through project completion.
Contractor & Project Coordination
Obtain and confirm contractor installation bids and related costs.
Manage turnkey pricing, quoting, and sales order conversion.
Coordinate delivery timing with installers and ensure final 50 percent payments are collected prior to installation.
Communicate clearly with customers, contractors, and internal teams to ensure smooth execution in the field.
Delivery Planning & Logistics
Confirm delivery details and site contacts for each project.
Coordinate outbound deliveries, inbound freight, and third party services.
Verify payment before product release, schedule delivery personnel, and ensure accurate labeling for multi-stop deliveries.
Maintain proof of delivery and ensure customer handling preferences are followed.
Support showroom events, trade shows, and marketing initiatives including setup, lead capture, and follow up.
Warehouse, Receiving & Inventory Management
Receive and verify inbound shipments and update inventory in the system.
Ensure installation materials such as adhesives, trims, and underlayment are properly received and tracked.
Maintain inventory accuracy through routine cycle counts and biannual audits.
Coordinate outbound freight, schedule carrier pickups, and manage freight claims when necessary.
Maintain a clean, organized, and safety compliant warehouse environment.
Operational Tracking & Payment Oversight
Monitor open or delayed order lines, internal transfers, and delivery queues.
Track inbound and outbound shipments and maintain the delivery calendar.
Manage deposits, prepaid invoices, and accounts receivable for turnkey projects.
Ensure all projects are fully paid and properly closed in the CRM system.
Showroom & Customer Experience
Maintain a clean, organized showroom and manage sample inventory.
Facilitate design consultations and coordinate sample requests.
Gather customer reviews and support showroom marketing efforts.
Manage marketing materials and ensure appropriate staffing coverage.
Partner with marketing on builder and designer outreach and local events.
Facilities & Safety Oversight
Oversee daily facility upkeep including showroom, warehouse, and exterior areas.
Maintain forklift inspection and safety logs.
Coordinate inspections, security systems, and ordering of office and warehouse supplies.
