
Sales Support and Order Specialist

General Summary
As a member of the company's Sales Team, the Sales Support and Order Specialist will report to the Sales and is responsible for providing superior customer Service, Sales and order processing support to NOF Metal Coatings customers, sales Team and production team members from order entry through order shipping.
Essential Duties and Responsibilities
Receive, audit, enter, and confirm customer orders into MCNA designated ERP system.
Ensure orders are consistently up to date to reflect both Customer and Company changes
Partner with necessary departments to ensure customers are receiving the most current updates on order status.
Troubleshoot problems with customer orders, customer accounts and other related issues
Run reports (Weekly, Monthly, Adhoc) and maintain weekly delivery records
Provide the sales team with data reports and sales guides
Monitor sales performance through sales tracking tools and report progress to sales representatives
Identify and keep up with sales trends
Keep up with new product launches and make sure the sales team is up to date
Setup new customers, and maintain customer records in designated MCNA Systems
Assist Customers with questions and requests for documentation; including web inquiries
Develop relationship and work closely with MCNA supply chain and MCNA production in order to ensure accurate and consistent flow of materials to customers
Support and manage escalations while maintaining the relationships between departments and servicing customers needs
Maintain and update Master Price list
Maintain Customer Licensee files in MCNA designated Systems
Manage and maintain Holiday Schedules (Customer Schedules)
Maintain licensee records
Ensure all inbound calls are answered timely and all messages are routed to appropriate contact.
Oversee, in partnership with the Technical Sales Director all customer communications.
Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines.
Assist in the development and/or enhancement of MCNA sales management tools
Support Sales team in creation of presentations and marketing materials.
Attend offsite training, workshops, meetings, and or trade shows as assigned.
Consistently looks for ways to improve process and procedure; steering away from paper records into electronic format.
Provide back-up, as need to the Marketing Team
Other job duties as assigned.
Qualifications
Associates degree preferred or equivalent work experience.
Experience in an administrative sales support or marketing role preferred.
Bilingual; Spanish or Japanese a plus.
Attention to pay strong attention to detail.
Proficient in MS Office applications including Excel, Word, PowerPoint, and Outlook.
Sound judgment and problem-solving skills.
Customer-focused attitude, with high level of professionalism and discretion
Utilize professional communication skills (oral and written) with a confident, concise, clear and compelling style.
Ability to build relationships; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external stakeholders.
Understand how to effectively interpret situations and anticipate needs.
Work effectively without constant and direct supervision or guidance.
Ability to prioritize multiple projects and meet aggressive deadlines, confident, and creative.

Physical and Work Environment Requirements
Primarily sedentary work; sits for extended periods while working at a computer.
Frequent use of hands/fingers for keyboarding, mouse use, and phone operation.
Frequent talking and hearing for phone/virtual meetings and customer communication.
Frequent close visual attention for reading screens, order details, product numbers, pricing, and documents.
Occasional standing/walking within the office/work area.
Occasional lifting/carrying of office materials (files, binders, laptop) typically up to 10 lbs; rarely up to 25 lbs (e.g., boxes of paper).
Occasional reaching/bending to retrieve files or supplies.
Ability to work in an office environment with typical noise levels; may require extended screen time.
