Job Summary

The Admissions Processing Specialist provides timely and accurate processing and maintenance of admissions related data and documents to support the admissions application process. Responsibilities include the daily processing of prospective student applications into the University's student database, evaluation of official secondary and post- secondary transcripts and applying University admission criteria in processing applicant files. The EM Processing Specialist also creates, maintains, and organizes student records using an imaging system, customer relationship management (CRM) system and University administrative computing system. The position supports university enrollment by synchronously updating student records as inquiries and applicants progress through the admissions lifecycle. Performance Evaluation Metrics

Applications Processed per Day- an average of 25 applications completed per day/week, an average of 50 transcripts evaluated and processed per day/week. Application turnaround time- 2-day turnaround time from application submission to file completion. An average of 2-day turnaround time from transcript receipt to system upload (can change case by case). Data Accuracy- 95% accuracy of files passing quality audit without corrections, 95% accuracy of data corrections required per month and audit compliance rate. Essential Functions

Shares the responsibility for data entry, data imports and exports, and processing applications for admission and/or readmission to undergraduate, graduate and doctoral programs daily; also assists with the periodic communication of credential reminders to these applicants. Responsible for updating student information with all admission information changes to include, but not limited to, change of address, start term, name, degree choice, and withdrawal of student applications to the Ellucian Colleague ERP and Technolutions Slate CRM database systems. Responsible for cross-referencing various student database reports regarding incomplete applications and confirmations to the University. Assists with the processing of all incoming transcripts and test scores to the university and efficiently distribute and disseminate to the respective area within the Office of Admissions. Assists with sending out all acceptance packages and admissions correspondence to perspective students. Assists and collaborates with the members of the Operations & Processing department within the Office of Admissions to establish, accomplish and evaluate the needs, goals, objectives and mission of the office and university. Maintain full knowledge of the academic catalog to explain admissions and program requirements. Ensures the integrity and confidentiality of academic records by maintaining compliance with FERPA and University records and archival policies. Ensure proper file preparation, delivery and upload into the university CRM and document image system. Verify accurate data migration between technical systems and contact data cleanup. Update missing checklist items in Technolutions Slate CRM to aid in applicant file completion. Conduct audits and quality control assessments on admissions data and applicant files. Assist the CRM Manager with maintenance of the CRM (Slate) system. Assist with training in the CRM slate and Colleague Systems for EM staff and other departments as needed. Additional Responsibilities

Assists in the dissemination of information regarding admissions, housing, financial aid, registration, and advising. Assists, as needed, in special targeted enrollment efforts i.e. orientation, registrations, etc. Duties and responsibilities will include the use of confidential student information. Performs other duties as assigned. Requirements

Knowledge, Skills, and Abilities

Knowledge of processing of admissions applications, admissions criteria, and recruitment in a university setting. Knowledge and expertise in technical support skills, i.e., retrieving reports, correspondence operations, communication production. Knowledge of modern office methods and procedures, filing, telephone techniques, and operation of office equipment. Ability to perform data entry and word processing with speed and accuracy without immediate and constant supervision. Ability to understand, accurately convey and execute both written and verbal instructions. Exceptional organizational skills and ability to effectively organize and maintain large volumes of records and files. Availability to work limited evenings and some weekends. Sufficient endurance to sit for long periods of time using a computer in limited space. Ability to communicate effectively and professionally with various groups, including but not limited to, the general public, prospective and current students, parents, alumni, faculty, staff, and administration. Ability to coordinate numerous tasks concurrently and incorporate unexpected projects/tasks/requests. Excellent analytical and reasoning skills; ability to troubleshoot. Working knowledge to various computer applications to include, but not limited to, Microsoft Word and Microsoft Excel. Knowledge of Ellucian Colleague administrative computing system, Technolutions Slate CRM system, Constituo Software, and Informer reporting system desired. Ability to lift at least 30 pounds. Sufficient mobility to make deliveries to and from other buildings on the OLLU campus. Education and Experience

Minimum of 20 hours college credit preferred (associate's degree desired) Minimum of one-year full time work experience in a college/university enrollment/financial aid setting preferred. Experience with Ellucian Colleague ERP system, Technolutions Slate CRM system, Constituo Software, and ImageNow software strongly preferred.
