The Assistant Property Manager supports the daily operations of a residential property management portfolio. This role works closely with property managers, maintenance technicians, tenants, and vendors to ensure properties are well-maintained, compliant, and operating efficiently. The ideal candidate is highly organized, detail-oriented, and able to multitask in a fast-paced environment.

Key Responsibilities Administrative & Operational Support

Deliver and set up lockboxes; manage and update access codes

Organize, monitor, and manage key logs

Maintain and update property information (square footage, breaker box locations, paint details, landscaping schedules, ownership info, etc.)

Maintain accurate tenant and vendor files (digital and physical)

Scan and file bills, leases, tenant documents, and notices

Mail, email, and post required notices

Request W-9 forms from new vendors

Monitor owner portals/pages (reserves, maintenance specifications, notes)

Tenant & Lease Management

Assist with lease renewals and lease notices

Monitor lease renewal dates and upcoming expirations

Input and process RUBS (Ratio Utility Billing System) charges in tenant accounts

Monitor and track tenant insurance (request, scan, and file policies)

Maintain tenant communication logs

Monitor move-outs, including documentation, notes, and forwarding addresses

Coordinate pre-move-out and pre-move-in inspections (checklists and scheduling)

Take and organize move-in inspection photos

Coordinate property maintenance with technicians

Assign and coordinate daily maintenance schedules

Monitor maintenance staff location and availability

Review and check work orders daily

Monitor turn timeline board to ensure unit readiness

Quality check and follow up after maintenance jobs

Facilitate delivery of trash bins to properties

Monitor and manage trash company accounts (setups and changes)

Monitor and manage utility account setups and changes

Communicate with vendors regarding work orders, scheduling, and documentation

Communication & Support

Serve as a runner for property-specific needs and urgent situations

Communicate professionally with tenants and vendors

Monitor tenant and vendor portals for updates and requests

Qualifications

Previous experience in property management or administrative support preferred

Strong organizational and time management skills

Ability to prioritize and manage multiple tasks simultaneously

Detail-oriented with strong follow-through

Excellent written and verbal communication skills

Proficiency in property management software and Microsoft Office/Google Workspace

Valid driver’s license and reliable transportation (if required for runner duties)

This position involves a combination of office-based administrative work and field tasks at managed properties. Occasional local travel between properties may be required.
