Organization – Hyatt Regency Coral Gables Join our dynamic Sales & Marketing team where service excellence, thoughtful event execution, and memorable guest experiences are at the heart of everything we do. We are seeking an organized, proactive, and guest‑focused Sales & Events Coordinator to support our Sales & Events department and help bring hotel events to life.

Position Summary The Sales & Events Coordinator provides administrative, sales, and event planning support to the Sales & Events team. This role plays a critical part in the coordination of group bookings, event details, client communication, and interdepartmental collaboration to ensure seamless execution of meetings, social events, and hotel‑wide initiatives.

Key Responsibilities

Respond to sales inquiries, prepare proposals, and assist with contracts.

Coordinate site visits, client tours, and welcome amenities.

Event Coordination

Support Event Managers with Banquet Event Orders (BEOs), event diagrams, guarantees, and billing details.

Communicate event details to Operations, Banquets, Culinary, and Front Office teams.

Serve as an on‑site contact for smaller meetings or events when needed.

Ensure accuracy and timely distribution of all event documents.

Administrative & Department Support

Manage calendars, distribute departmental communication, and prepare presentations.

Assist with group room block setup, pickup reports, and reservation lists.

Coordinate ordering of supplies, printing, collateral, and promotional materials.

Maintain and update Hyatt Envision.

Qualifications

Previous experience in hospitality, catering, conference services, or administrative support (hotel experience preferred).

Strong organizational skills and attention to detail.

Excellent communication and customer service abilities.

Proficiency in Microsoft Office; experience with hotel systems a plus (Delphi/FDC, Opera, CI/TY, etc.).

Ability to multitask and thrive in a fast‑paced environment.
