Opportunity at a Glance The Sales Coordinator plays a vital role in supporting the sales process by ensuring seamless customer interactions, accurate order processing, and efficient administrative assistance for Account Manager(s) and Account Executive(s). This position is responsible for managing internal workflows, coordinating with vendors, and maintaining precise documentation to enhance client satisfaction and drive operational efficiency. As a key contributor to the sales team, the Sales Coordinator assists with quote preparation, order audits, and bid package development while facilitating strong communication between internal teams and external partners. Job Responsibilities
Support Account Manager(s) and Executive Account Manager(s) in managing customer relations by ensuring timely and accurate resolution of client concerns while maintaining a seamless internal workflow
Assist the Account Manager(s) and Executive Account Manager(s) in resolving customer inquiries by researching issues, coordinating with internal teams, and identifying solutions, while relaying necessary information for direct client communication
Develop a deep understanding of internal sales order processing procedures, including accurate application of processing codes and sales line associations for order entry
Prepare, review, and edit sales team quotes for clients, ensuring accuracy in product specifications and pricing
Conduct thorough audits of sales quotes prior to order placement to minimize errors and discrepancies
Assist designers in efficiently importing quotes into the Hedberg system to support project workflow
Assist Account Manager(s) and Executive Account Manager(s) with customer service and sales opportunities for existing customers
Support the Account Manager(s) and Account Executive(s) throughout the sales process by assisting with proposals and administrative tasks
Maintain in-depth knowledge of Steelcase and other vendor discount structures to ensure accurate pricing and cost assessments
Communicate with vendors to obtain special pricing, product details, order entry support, and shipping status updates
Contribute to the development of bid packages by gathering necessary documentation and supporting materials
Coordinate the scheduling and delivery of loaner chairs and product samples for customer evaluations, as needed
Accurately compute COM fabrics and ensure correct pricing in quotes
Assist in Accounts Receivable collections, as needed
Participate in team huddles, training sessions, and lunch-and-learn events to stay informed on industry trends, product updates, and best practices
Foster a collaborative working environment by maintaining strong relationships with internal team members and cross-functional departments
Qualifications
Detail-oriented with strong organizational and time management skills
Analytical thinking skills to review quotes, audit for errors, and process information efficiently
Strong customer service mindset with a focus on supporting Account Manager(s) and Account Executive(s) in delivering exceptional client experiences
Ability to work both independently and collaboratively in a fast-paced, team-oriented environment
Positive attitude with a proactive and adaptable approach to supporting team needs
Proficient in Microsoft Outlook, Word, and PowerPoint
Advanced in Excel and Adobe PDF
Knowledge of sales processes, bid preparation, and order fulfillment
Ability to proactively assist in problem resolution
Strong written and verbal communication skills for clear and professional internal correspondence
Ability to adapt to changing priorities and manage stress effectively during high-volume or peak business periods
Ability to quickly learn and apply new concepts and processes efficiently
Understanding of logistics and supply chain processes, including order fulfillment, inventory, and vendor coordination
Education, Experience & Other Requirements
High school diploma required
Bachelor’s degree, preferred
2+ years’ experience in Customer Support, Order Fulfillment, or related field
Experience with Hedberg order processing system, preferred
