Ares is looking for an Associate Event Manager to join the Global Conferences & Events team. The team is part of the Global Clients Solutions group and has members based in New York, Los Angeles, Mumbai, and London. The Event Manager will be responsible for planning small to mid sized events from initial concept discussions through execution. These events are hosted in person and virtually, and typically range in size from 25 to 100 attendees. In addition, this Event Manager will also support the firm’s participation in various sponsorships and industry conferences held globally and contribute to large, global flagship conferences.
The successful candidate will work closely with business leaders to understand and implement the event requirements within the regional division. Strong project management skills are essential for executing comprehensive event logistics, including budgeting, venue selection, contract negotiation, catering, audiovisual arrangements, and onsite assistance. As a detail oriented, proactive, organized, and deadline driven professional, the candidate will excel in a fast-paced setting, ensuring the delivery of outstanding events.

Primary Functions And Essential Responsibilities
Successfully plan and execute small to mid-sized in-person investor events, including breakfast seminars, lunches, speaker series, dinners, receptions, roadshows, sporting events, and internal offsites.
Coordinate participation and sponsorship of various industry conferences between internal stakeholders and third-party organizations. Support will range from: gathering interest, requesting budget approvals, negotiating contracts, processing payments, onboarding participation, etc.
Provide event support on large flagship conferences globally. Event support will range from hotel sleeping room block, gift sourcing, transportation, event branding and messaging, offsite dinners, speakers management, etc.
Responsible for event logistics such as venue research and contracting, food and beverage, transportation, hotel room block, gifts, production/audiovisual management, and onsite execution.
Manage event budgets, including creation, reconciliation, and invoice processing.
Partner with internal teams such as Creative Solutions on invitation design and event branding, and Compliance on invitation list approval.
Ensure an engaging client experience and achievement of program objectives by consistently meeting deadlines on assigned events and projects and keeping stakeholders apprised.
Partner with Event Registration team on RSVP tracking in Cvent & Salesforce and report distribution to stakeholders.
Take on ad hoc projects and support the broader team as needed.
Reports to: MD, Global Head of Conferences & Events, Global Client Solutions Group
Qualifications Education
Bachelor’s Degree required with outstanding academic record.
Experience Required
6-8 years of events experience required.
Experience in financial services industry strongly preferred.
General Requirements
Proficiency in Excel, PowerPoint and Word and experience in Cvent and Salesforce.
Ability to thrive in a fast-paced, demanding environment while maintaining high quality standards.
Adept at time management to successfully manage multiple priorities with high stakes deadlines; results oriented.
Strong communication skills, both written and interpersonal; client service oriented.
Capability of interacting with key stakeholders to direct prioritization of related activity.

Work Environment & Physical Requirements
Ability to travel domestically and globally up to 30% for onsite event support, conferences, and sponsorship activations.
Ability to work onsite in the office four days per week, in alignment with team and business needs.
Flexibility to work outside standard business hours as required, including early mornings, evenings, and occasional weekends during peak event periods or for global responsibilities.
Ability to lift and transport event materials (such as signage, registration equipment, and boxes) up to 20 lbs.
Ability to stand, walk, and move between event spaces for extended periods during event setup, execution, and breakdown.

Compensation The anticipated base salary range for this position is
$100,000 - $120,000 / annum . Total compensation may also include a discretionary performance-based bonus. Note, the range takes into account a broad spectrum of qualifications, including, but not limited to, years of relevant work experience, education, and other relevant qualifications specific to the role.
