Job Purpose The Event Sales Coordinator is responsible for booking and executing group and event sales while supporting the overall sales process from lead capture through event execution. This role manages incoming inquiries, converts qualified leads into booked events, and ensures seamless coordination between clients and venue operations. The Event Sales Coordinator works closely with Event Sales Managers and operations leadership to drive revenue, maintain organized sales systems, and deliver exceptional client communication. This position is 100% onsite.
Responsibilities
Serve as the first point of contact for incoming leads through Tripleseat and other channels, qualifying inquiries and actively booking small‑to‑mid‑size events.
Generate proposals, contracts, and banquet event orders (BEOs) accurately and in a timely manner.
Follow up on leads consistently to drive conversion and meet monthly booking goals.
Coordinate event details with clients, ensuring clear communication from contract through execution.
Prepare event packets, timelines, and materials for internal BEO meetings to ensure cross‑department alignment.
Respond promptly to client and vendor inquiries, manage deposits and payment reminders, and assist with day‑of‑event adjustments.
Maintain organized sales files and track leads, bookings, deposits, and revenue metrics.
Support onsite activations, networking efforts, and community outreach initiatives that generate new business.
Identify opportunities to improve workflow, communication, and overall sales effectiveness.
Qualifications
High school diploma or equivalent required; associate degree or coursework in hospitality, sales, or business preferred.
1–3 years of experience in hospitality, event sales, restaurant sales, or sales coordination.
Demonstrated ability to close sales and manage client relationships.
Proficiency in Microsoft Office Suite; experience with Tripleseat or similar CRM/event software preferred.
Strong organizational skills and ability to manage multiple deadlines.
Clear, professional written and verbal communication.
Customer‑focused mindset with strong problem‑solving abilities.
Ability to work in a fast‑paced, revenue‑driven environment.
Working Conditions
Work is performed in a fast‑paced hospitality environment and may require flexibility for evenings and weekends based on business needs.
Extended periods of standing, walking, or moving throughout the venue may be required during event preparations.
Occasional lifting or carrying up to 50 lbs.
Regular use of computers, phones, and event management systems in both office and guest‑facing settings.
Exposure to varying noise levels and indoor/outdoor conditions depending on event activity.
