Accounting and Compliance Specialist
to manage day-to-day financial operations, ensure program compliance, maintain transparency protocols, and support internal controls. The organization has a contracted CPA who handles tax filings; this role focuses on daily accounting accuracy, documentation, grant compliance, and operational from the Aguadilla Business Center. Responsibilities
Conduct daily bookkeeping and transaction entry. Maintain A/R, A/P, vendor management, and payment processing. Reconcile bank and credit card accounts. Maintain financial documentation for grants, programs, and restricted funds. Ensure compliance with internal SOPs, 2 CFR 200 requirements, and funder protocols. Prepare monthly financial packets for leadership and CPA (statements, GL detail, reconciliations). Track budgets, spending, burn rate, and program allocations. Maintain organized digital and physical financial records. Process staff reimbursements, travel documentation, per diems, and procurement paperwork. Support inventory, purchasing, and receipt management. Prepare audit-ready documentation sets for funders and internal reviews. Coordinate with the contracted CPA for quarterly, annual, or grant-required reports. Maintain confidentiality and follow transparency standards. Enter daily transactions in QuickBooks. Reconcile previous week’s bank and credit card statements. Review documentation for each expense. Prepare weekly cash-flow snapshot. Update grant expense trackers by program. Review procurement logs and verify supporting documents. Maintain vendor folders and required W-9s. Process accounts payable with full documentation. Generate invoices or grant reimbursement packets. File receipts (digital and physical). Audit small purchases for compliance. Review staff timesheets or contractor invoices. Prepare staff reimbursement and travel files. Organize petty cash and reconcile log. Review budget vs. actual for each program. Prepare monthly folder for CPA review. Maintain grant compliance checklists. Support inventory counts and documentation. Update approval logs and signature logs. Scan and upload all weekly financial documents. Prepare a monthly mini-audit on one program. Update internal SOP compliance trackers. Support year-end audit preparation. Enter income from donations, grants, or events. Track procurement approval timelines. Review mileage and travel claims for accuracy. Maintain a transparency dashboard or folder. Provide a weekly summary report to leadership. Required Skills / Qualifications
Strong command of English (written and verbal). Experience with bookkeeping and financial operations for small businesses or nonprofits. Ability to manage compliance and documentation processes. Detail-oriented, organized, and consistent. Ability to communicate clearly with program staff, vendors, and leadership. Knowledge of nonprofit accounting and grant compliance is ideal.
