
Event Specialist
The Event Specialist will support the Office of Philanthropy University Events team in planning, organizing, and executing events while maintaining professional office standards. This position is responsible for collaborating with Director of University Events on planning, organizing and executing events to meet organizational goals. Key responsibilities include, but are not limited to: Coordinate all event logistics Coordinate all pre-event vendor inquiries, confirmations and day-of details. Create and prepare name tags for events and meetings Assist with vendor communication Develop and maintain event checklists Track and manage event inventory (Beverages, gifts, supplies, etc.) Provide event-day assistance as a secondary point person or primary at each event Coordinate follow-up and verify all invitees and RSVPs Work with Director of University Events to conceptualize event themes and timelines. Assist with the management of budget Assist with securing event sponsorships Coordinate logistical elements and all event marketing materials Engage with vendors, speakers, and host(s) of the events Assist with context for post-event reporting and evaluation of event effectiveness and room for improvement In conjunction with Director of University Events develop a master events calendar In conjunction with Director of University Events create Standard Operating Procedures (SOP) for all signature university events, including a prevent checklist and planning calendar.
