Overview

General Description Under the general supervision of the Executive Vice President, Property Management, the Vice President (VP), Property Management is an experienced and strategic property management professional responsible for overseeing the successful operation of Conifer’s Property Management function. The VP will provide leadership to the property management teams, ensuring the performance and stability of Conifer’s multifamily, senior, and commercial units.

The VP’s responsibilities include strategic direction, oversight of compliance, day-to-day management of Conifer-managed properties, and supervision of site teams. This role assumes full accountability for the personnel, physical conditions, and economic performance of the portfolio, with a focus on maximizing Net Operating Income (NOI), achieving property budget goals, and minimizing vacancies. The VP reports directly to the Executive Vice President, Property Management and will have direct oversight of all portfolio leadership. Success in this role requires collaboration with key departments and stakeholders, including Maintenance and Facilities, Compliance and Administration, Asset Management, Residential Accounting, People + Culture, Legal, Development teams, external housing authority representatives, and other relevant partners.

Description

  • Oversee Property Management activities of all managed properties.
  • Lead and mentor direct reports.
  • Manage collaboration among staff and across departments to implement strategy and maximize impact.
  • Promote a culture of accountability, transparency, integrity, respect, and commitment.
  • Promote exacting standards of performance, service quality, and operational efficiency.
  • Develop leaders and encourage innovation to advance the theory of change.
  • Ensure training needs are assessed, and necessary training programs are designed and implemented to meet staff requirements.
  • Evaluate direct reports, counsel and recommend areas for improvement.
  • Make annual salary recommendations based on overall performance ratings for property managers, and reviews and approves property managers’ salary recommendations for the management office staff.
  • Along with the SVP, Property Management and Leadership, establish high standards of performance, KPIs, and KRIs for key property management activities.
  • Operate as a Senior Leadership Team member, providing department summary and guidance to other department heads – ensuring transparency and communication in pursuit of Conifer’s annual goals.
  • Work with the Asset Management team to build reports and dashboards to communicate appropriate information to relevant audiences, including the board of directors.
  • Ensure time and thorough completion of property management responsibilities including but not limited to leasing, code compliance, building maintenance (in partnership with maintenance and facilities leadership), rent collections, reporting deliverables and ad-hoc requests.
  • Work closely with the portfolio staff and the Compliance and Administration team to proactively address all regulatory compliance areas within the property management function.
  • In partnership with the SVP, Property Management, develop and implement effective leasing and resident retention programs for all residents.
  • Collaborate with Procurement, Asset Management and Facilities and Maintenance leadership to negotiate major vendor contracts and pursue portfolio-wide expense reductions through vendor bidding.
  • Conduct regular site visits as needed to review curb appeal, status of Capex projects, common areas and vacant unit inspections, and personnel issues.
  • Work closely with the Risk Management and Legal departments to review status of liability and property damage claims.
  • Review and manage the financials of the portfolio which includes maximizing NOI in accordance with property budgets and business plans and minimizing vacancies. Includes: month-end reporting, action plans, portfolio occupancy, rent collections and rent levels, capital projects, and compliance with agency inspections.
  • Ensuring that sites have appropriate high-performing staff and coordinating staff between regions as needed.
  • Build and maintain excellent relationships with residents, staff and other property management stakeholders. Handle resident concerns not resolved by AVP/RM.
  • Establish and maintain relationships with agencies involved with properties in the region. Support the AVP when necessary to resolve regulatory concerns that arise.
  • Conduct regular site visits to ensure properties are maintained within Conifer standards. Underperforming properties may require more frequent visits by the VP or AVP as assigned.
  • Support AVPs in budget preparation during budgeting season. Review budget drafts, convene annual budget meetings, and coordinate budget reviews with Property Management and Asset Management leadership.
  • In collaboration with Asset Management and Compliance & Administration, ensure rent increase processes are completed in a timely manner with appropriate follow-up.
  • Ensure changes to management fees are implemented on time and accurately.
  • Attend interdepartmental meetings involving existing or new properties in the portfolio.
  • Ensure all property management staff are informed and trained around rent-up schedules, tax credit delivery, and break-even plans for new properties onboarded.
  • Inform Property Management leadership of any site activity that could affect operation, following the Conifer notification protocol.
  • In the event of an emergency or disaster at the site, provide the physical corporate presence and support as appropriate.

Experience

  • Minimum 8 years of successful multi-site management experience required.
  • Affordable Housing experience strongly preferred. Compliance experience with LIHTC, HUD-Section 8, RD, Fair Housing required.
  • Strong MS Office suite (Word, Excel, PowerPoint, Outlook).
  • Knowledge of industry software programs a plus; Yardi Voyager preferred.
  • Strong financial management experience in site budgeting with roll-up to regional operations budgeting.
  • Prior experience maximizing NOI in line with business plans and budgets.
  • Prior staffing, training, and performance management experience required.
  • Must have reliable transportation, valid vehicle insurance, and a valid driver’s license to attend meetings and trainings.

Education

  • Degree: 4-year College Degree required.
  • Nationally recognized industry designations, preferably in Affordable Housing, a plus.

The salary range for this position is $190,000.00 - $200,000.00. The actual compensation may vary depending on experience, skills, qualifications, certifications, location, etc. This range does not include bonuses.
