Position Summary This role ensures accurate inventory tracking, compliance with procurement and disposal policies, and alignment with IT Service Management (ITSM) strategies.
The administrator will manage asset intake, tagging, assignment, monitoring, and disposal workflows using tools such as Oracle Fusion, Ivanti, Microsoft Intune, Google Admin, and Apple School Manager.
Key Responsibilities Asset Lifecycle Management Maintain up-to-date inventory of all IT assets, ensuring data accuracy and compliance with FISMA retention policies.
Oversee asset intake, including reconciling packing slips, serial numbers, and purchase orders via Oracle Fusion.
Manage asset tagging processes, including manual tagging for Apple devices and bulk uploads for large-scale deliveries.
Procurement & Documentation Validate vendor asset files biweekly and ensure all required fields are completed before ITAM uploads.
Track and document asset status changes, including assignment, repair, disposal, and replacement.
Collaborate with procurement teams to ensure closed-loop asset tracking and payment processing.
Monitoring & Compliance Use management consoles (Google Admin, Apple School Manager, Intune) to monitor device health, compliance, and activity.
Investigate and remediate inactive or non-compliant devices, document replacements, and incidents.
Ensure proper documentation for lost/stolen devices, including police reports and service tickets.
Disposal & Record Retention Manage asset disposal workflows, including certificate of destruction handling and direct vendor transfers.
Retain disposal documentation indefinitely in cloud storage to meet compliance standards.
Audit & Reporting Conduct biweekly audits of vendor submissions and annual summer inventories.
Support onsite device verification and future enhancements for school-based audit participation.
Process Improvement & SOP Development Collaborate on ITAM SOP updates to align with ITSM strategy and generalize system references for futureproofing.
Define and document workflows for asset disposal, audits, and disaster recovery planning.
Qualifications Bachelor's degree in Information Technology, Business Administration, or related field (preferred).
3+ years of experience in IT asset management or related IT operations.
Familiarity with ITSM frameworks and tools such as Ivanti, Oracle Fusion, Intune, and Google Admin.
Strong organizational and documentation skills.
Ability to manage multiple priorities and collaborate across departments.
