How You’ll LEAD Universal Music Publishing Group is looking for a highly organized, proactive Assistant who has superior attention to detail, the ability to meet tight deadlines and can juggle multiple critical requests to assist senior level execs on both the A&R and Marketing teams. Must be very efficient and highly attuned to the smallest of details, as well as being able to multitask and work on tight deadlines in a high‑pressure environment is crucial. A “can‑do” attitude is essential as is a warm, professional, and personable demeanor that reflects UMPG’s culture.

How You’ll CREATE Executive Support

Provide high‑level administrative support to multiple senior executives, including complex calendar management, scheduling across time zones, and meeting coordination

Act as a gatekeeper and point of contact for internal teams, artists, managers, attorneys, and external partners

Manage phone calls, emails, and correspondence with discretion and professionalism

Build a relationship with C‑Suite Assistants, Chief of Staff, and Operations teams for necessary scheduling

Prepare agendas, take notes, track action items, and follow up as needed

Using internal tools to book and expense external Artist and internal team travel

Process expenses, invoices, and purchase orders accurately and on time

Prepare for various presentations, meeting agendas + recaps for both the A&R and Marketing teams

Assist on awards submission, preparation and completion across teams

Support special projects, industry event planning, guest lists and ad‑hoc requests as they arise

Coordinate office lunches, maintain office greeting/lounge area, and team building events

Bring a consistently positive, approachable presence when welcoming artists, partners, and guests, helping create an inviting and professional environment

A&R Support

Assist with A&R workflows, including maintaining artist and songwriter databases, A&R staff rosters, NYC gig lists and ticket buys, maintaining playlists of pitch songs/demos, regularly updating UMPG’s playlist of weekly releases, and DJ’ing weekly meetings (playing music, videos, etc.)

Coordinate recording sessions, writing camps, and artist meetings i.e., booking studio time and rental equipment as needed/applicable

Help prepare pitch materials, presentations, and internal reports

Maintain organization of contracts, agreements, and creative assets in collaboration with Business Affairs

Scout / research artists for potential signing/sessions

See live shows

Assist on collected report to CEO analyzing chart info, sessions, roster news, & upcoming releases

Maintain NYC writer room at Office

Marketing Support

Support marketing initiatives by coordinating meetings, timelines, and deliverables

Assist with campaign planning, and internal communications

Help compile marketing recaps, reports, and presentation decks

Coordinate with Label, Communications, Sync, Catalog, Legal, Merch and International teams as well as external partners, clients, DSPs as needed

Stay atop trends in social media and contribute to storytelling ideas

Bring Your VIBE

Deep interest and excitement for the music industry, UMPG’s roster, & UMPG projects

1‑2 years of administrative experience

Strong attention to detail, problem‑solving and organizational skills

Open to collaboration and teamwork

Flexible and able to multi‑task

An understanding of UMPG roster and musical history

Ability to interact comfortably and effectively with external partners and clients

Advanced Microsoft Office skills including Outlook, Excel, and PowerPoint

Great social and interpersonal skills

Ability to respectfully represent UMPG and its identity inside the office and at outside events (concerts, meetings, etc.)

Salary Range: $40,350 - $65,368
