is looking for a full-time Executive Assistant

SUMMARY The Executive Assistant is responsible for providing high-level, confidential, and strategic administrative support to the Office of the CEO. This position is responsible for managing executive schedules, coordinating complex travel and meetings, preparing executive-level communications and reports, conducting research, and serving as a key liaison between the CEO, board members, internal leadership, and external stakeholders.

ESSENTIAL FUNCTIONS

Provide comprehensive administrative support to the President/CEO, including managing a dynamic and complex calendar, prioritizing appointments, and ensuring preparedness for all meetings and engagements.

Coordinate and arrange detailed domestic and international travel, including itineraries, agendas, accommodations, and related documentation.

Prepare, draft, and edit executive-level correspondence, reports, presentations, meeting minutes, and briefing materials.

Serve as a liaison between the President/CEO and internal staff, board members, external partners, and key stakeholders, ensuring clear, timely, and professional communication.

Plan and coordinate logistics for internal and external meetings, events, and executive engagements.

Conduct research and analysis related to medical, operational, financial, and business initiatives to support executive decision-making.

Support the President/CEO in external commitments, including leadership conferences, seminars, industry events, and organizational representation.

Maintain strict confidentiality and exercise sound judgment in handling sensitive information and communications.

Assist with special projects and cross-functional initiatives as assigned.

Perform other related tasks as needed.

KNOWLEDGE, SKILLS, AND ABILITIES

Ability to exercise exceptional discretion, diplomacy, and sound judgment due to regular exposure to highly sensitive financial, personnel, proprietary, and strategic information.

Knowledge of executive-level administrative practices, office management, and organizational protocols.

Exceptional organizational and time-management skills with the ability to manage multiple, competing priorities and deadlines in a fast-paced executive environment.

Advanced interpersonal and relationship-building skills with the ability to interact professionally and effectively with executives, board members, staff, and external partners.

Strong written and verbal communication skills, including drafting executive-level correspondence, reports, and presentations.

Proactive problem-solving skills with strong critical thinking and independent decision-making abilities.

Strong research, analytical, and information-gathering skills to support executive planning and decision-making.

High degree of emotional intelligence, professionalism, and executive presence.

Ability to work independently with minimal supervision while also collaborating effectively as part of a team.

Demonstrated ability to adapt to changing priorities and business needs in a dynamic, executive-level environment.

Commitment to delivering a high level of internal and external customer service and responsiveness.

Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

Ability to maintain a flexible schedule to accommodate executive and organizational needs.

Ability to travel between company facilities and off-site locations as required to support executive and organizational needs.

EDUCATION AND EXPERIENCE

High School Diploma or GED

Two (2) years of experience with executive leadership
