Commercial Escrow Assistant – Portland, OR
The Commercial Escrow Assistant will open, process and close commercial transactions with appropriate supervision. Will effectively communicate with all interested parties including counsel, lenders, principals, realtors, co‑workers, and all other department personnel. Must be a personable, positive, and professional representative of the Company.
Location In‑office position located in our Portland, OR location.
Essential Duties and Responsibilities
Verifies and reviews all information in the preliminary report/title commitment while clearing title requirements by researching discrepancies, obtaining lien releases and clearing any other encumbrances.
Task to Central Processing Unit (CSD – CPU), i.e., payoff, HOA and utility demands that appear on preliminary report/title commitment and/or Seller/Borrower Information Sheets.
Assist in quoting fees and charges.
Request/authorize loans to fund, receive funds, disburse funds including but not limited to sending out payoffs.
Schedule appointments and assemble documents for signing for both inside and outside of the office.
Assist with customers signing documents inside the office, as assigned by Escrow Officer and/or Branch Manager.
Upload all documents in the appropriate category in the electronic filing system.
Document all conversations relative to each file to keep each team member informed of the file status.
Prepare funding packages, provide conditions, and receive funds.
Assist with training other personnel, guiding them to reach maximum efficiency and production of the branch.
Continue escrow education through company training webinars, seminars, meetings or outside sources (e.g., Escrow Association).
Comply with company policies, procedures, regulatory requirements and complete mandatory company compliance training by prescribed deadlines.
Work from 8:00 a.m. to 5:00 p.m., Monday through Friday.
Knowledge and Skills Required
Requires 2+ years of commercial escrow experience.
Knowledge of title insurance policies, endorsements and title pricing.
Knowledge of escrow documents, escrow fees and terminology.
Basic computer skills, including proficiency in Microsoft Office Suite and Outlook.
Ability to work in a fast‑paced environment while successfully performing under extreme time constraints and meeting prescribed deadlines.
Strong attention to detail with excellent organizational skills, and ability to prioritize and handle multiple tasks and projects.
