About the Project Crush Palace is producing a four-event brand activation series for a client in San Diego, CA from May-August, 2026.

Role Overview This is a hybrid PM/Producer role: part logistics quarterback, part creative executor. You’ll work closely with the Crush Palace CD to manage every moving piece across four events — from permitting and vendor coordination to staffing, build, and breakdown. You’ll be the hub that keeps pre-production on schedule and the boots on the ground making sure each event runs flawlessly day‑of.

Pre‑Production

Own and maintain a master project timeline and workback schedule across all 4 activations

Coordinate with venue team on load‑in windows, site logistics, and activation placement

Manage vendor procurement and relationships: branded mobile bar/van, decor, signage, furniture, A/V

Oversee production of all physical elements — signage, backdrop, branded collateral, props

Source, brief, and confirm brand ambassador staffing (quantities TBD per event)

Manage permitting, insurance, and compliance requirements in coordination with the venue

Maintain a comprehensive run‑of‑show and venue contact sheet for each event

Track budget actuals against estimates; flag variances to the CD proactively

Coordinate shipping and storage logistics for all activation assets between events

Liaise with client brand team on product inventory, sampling logistics, and giveaway quantities

Onsite — Setup & Build

Lead load‑in and full activation setup including mobile bar positioning, lounge area build‑out, signage installation, and decor placement

Direct venue crew, brand ambassadors, and any additional contracted labor during setup

Complete a final venue walk and checklist sign‑off before doors open

Manage all health, safety, and permitting compliance onsite

Onsite — Event Day Operations

Serve as primary point of contact for all activation operations throughout each event

Manage and motivate brand ambassador team: briefing, supervision, breaks, and troubleshooting

Monitor product inventory, giveaway supplies, and sampling operations in real time

Coordinate closely with venue staff, security, and any third‑party event partners

Capture key operational notes and photo documentation for recap reporting

Proactively identify and resolve any issues before they elevate

Strike & Post‑Event

Oversee full breakdown and load‑out; ensure all assets are accounted for and packed correctly

Debrief with brand ambassador staff post‑event

Deliver a post‑event recap including staffing notes, product quantities, and operational observations

Coordinate return shipping or storage of all activation assets

Qualifications Required

2-3 years of experiential production, event management, or brand activation experience

Proven track record managing multi‑event or tour‑style activations from pre‑pro through strike

Strong vendor management skills — you know how to source, negotiate, and hold people accountable

Experience managing and briefing brand ambassador or event staff teams

Highly organized with sharp attention to detail; comfortable building and owning timelines and run‑of‑shows

Calm under pressure with strong problem‑solving instincts in live event environments

Excellent communicator — clear, direct, and proactive with all stakeholders

San Diego‑based strongly preferred; must be available locally for all 4 event dates

Preferred

Experience with beverage brand activations, sampling, or licensed events

Deep familiarity with the San Diego event market — existing venue relationships and local vendor network a major plus

Experience working with mobile bar units, branded vehicles, or custom fabrication

Proficiency in project management tools (Notion, Asana, Monday, Google Workspace, or similar)

A network of reliable Southern California BA staffing resources
