This is a hands‑on, mid‑level role that combines administrative support with operational ownership and independent judgment. The Operations Specialist partners closely with PR colleagues and collaborates with cross‑functional teams to support planning, reporting, and day‑to‑day operational effectiveness. This role is well suited for someone who takes initiative, manages work proactively, has exceptional attention to detail, and serves as a trusted operational partner to teams and leadership. Responsibilities Manage the opening and closing of jobs in collaboration with PR and Finance teams, ensuring accuracy and compliance with internal processes Prepare, maintain, and analyze utilization, capacity, and operational reports to support planning and decision‑making Support planning and forecasting activities by ensuring data accuracy, consistency, and timely updates Partner with Finance and Billing teams to support financial tracking, including out‑of‑pocket (OOP) expenses, monthly billing coordination, invoice processing, and purchase order creation Generate and manage supplier documentation, and collect, maintain, and analyze data related to new and existing suppliers, including influencer and vendor agreements in coordination with internal stakeholders Provide executive administrative and scheduling support, including calendar coordination, meeting preparation, and expense and time submissions Coordinate meetings related to reporting, workflows, operational reviews, and cross‑functional collaboration Manage professional correspondence, including client‑facing communication primarily via email, as well as internal meetings and calls Support office coordination and operational needs across Citizen US Maintain organized, accurate filing, documentation, and data storage systems Identify, recommend, and help roll out opportunities to improve processes and workflows in partnership with cross‑functional teams Support evolving administrative and operational needs across the business, including cross‑functional initiatives, as needed Skills & Experience 3+ years of experience in operations, administrative, finance, or account support within a professional services, agency, or fast‑paced environment Experience supporting financial and operational processes, such as billing coordination, expense tracking, invoicing, purchase orders, or related workflows Comfort working with data, reports, and tracking tools, including utilization, capacity, or financial trackers Strong working knowledge of Excel and/or Google Sheets, with the ability to maintain accurate data and spot inconsistencies Experience coordinating across teams (e.g., PR, Finance, HR, Operations) and managing multiple priorities simultaneously Strong written communication skills, including professional and client‑facing correspondence High level of organization, attention to detail, and follow‑through Ability to work independently, exercise sound judgment, and manage work with minimal supervision Discretion and professionalism when handling sensitive or confidential information Transparency matters to us.
