Proposal Coordinator (Southeast Marketing Team) Environmental Science Associates is seeking a motivated, detail‑oriented professional with at least 2+ years of experience to support development of high‑quality proposals and qualifications in the Architecture, Engineering, and Construction (A/E/C) marketplace. Candidates with 5+ years of experience are strongly preferred. The role is based in Tampa or Orlando, Florida, with office presence as needed.
Who You Are You are a motivated marketing professional who enjoys working collaboratively with technical teams to develop persuasive proposals and strategic marketing materials.
At least two years of professional experience, preferably supporting proposal development or marketing in Florida.
Thrives in a fast‑paced environment and manages multiple priorities while maintaining high‑quality deliverables.
Organized, proactive, and detail‑oriented, working independently and collaboratively within a team.
Strong writing, editing, and communication skills, translating technical information into clear and compelling messaging.
Effective collaborator who gathers and synthesizes information from engineers, planners, scientists, designers, and other subject‑matter experts to develop persuasive proposals and marketing materials.
Proficient in Microsoft Office (Word, PowerPoint, Excel) and experienced with Adobe Creative Suite, particularly InDesign; familiarity with Photoshop and Illustrator is a plus.
Experience with CRM systems, preferably Deltek (Vision or Vantagepoint).
Associate degree in Marketing, Journalism, Communications, English, or a related field. A Bachelor’s degree is preferred but not required; additional relevant experience may be considered in lieu of a degree.
Experience in the A/E/C or environmental consulting industry is highly preferred but not required.
Interest in working with a team of planners, engineers, scientists, biologists, and designers who share a passion for sustainability and environmental stewardship.
What You Will Do for ESA In this role, you will support ESA’s Southeast Region in meeting and exceeding annual business development goals by coordinating proposals and supporting regional marketing initiatives.
Key responsibilities include:
Coordinating and producing multidisciplinary proposals, qualifications packages, and marketing materials in collaboration with technical teams.
Ensuring proposals are accurate, compliant, visually compelling, and delivered on schedule.
Supporting the pursuit and client management process, including receiving, reviewing, and distributing marketing leads and opportunities.
Assisting with data collection and records management for proposals, projects, personnel, clients, and teaming partners using ESA’s CRM system.
Maintaining and updating internal qualifications, resumes, and project experience libraries.
Assisting with teaming partner coordination, including working with prime and sub‑consultants during pursuits.
Supporting short‑list interview preparation, including development of presentation materials and coordination of rehearsal sessions.
Participating in regional marketing and business development meetings, supporting opportunity tracking, and identifying cross‑disciplinary or cross‑regional opportunities.
Assisting with strategic marketing initiatives, including conferences, events, and targeted outreach activities.
Other ad hoc tasks as needed.
