Job Duties and Responsibilities As an HR Compliance Specialist, you will manage a variety of crucial day-to-day activities, including conducting I‑9 verifications and poster audits, administering our drug testing programs, and assisting with mandatory government reporting (such as EEO‑1 and CA Pay Data). Beyond audits and reporting, you will serve as a vital resource for our HR Support teams, providing guidance on policy interpretations, managing legal document requests, and assisting with unemployment claims.

Key Responsibilities

Compliance Auditing, Reporting & Filings

Assist in the preparation and filing of mandatory federal, state, and local compliance reports, such as FCC EEO and CA Pay Data Reporting

Gather, compile, and organize data from various HR systems (HRIS, Payroll) required for compliance submissions

Track all reporting deadlines to ensure timely and accurate filings

Provide administrative support during internal and external audits by gathering requested documentation, scheduling meetings, and organizing materials

Conduct recurring audits and manage I‑9 verifications, with a specific focus on reverifications

Administer the random drug testing program, including coordinating schedules with selected employees and testing vendors

Execute quarterly audits of safety‑sensitive job codes

Conduct IP audits to review unauthorized remote work and process international remote work exception requests in partnership with Immigration and Legal Compliance

Policy & Procedure Administration

Assist in drafting and updating HR policies, procedures, and the employee handbook under the direction of the HR Compliance Manager

Coordinate the dissemination of new and updated policies to the workforce

Serve as a subject matter expert for employee inquiries regarding HR policies and procedures, escalating complex questions as needed

Review third‑party background check exception requests and maintain legal job descriptions

Set up, archive, and maintain systems for employee document acknowledgements and disclosure submissions

Provide specific historical policy versions to support legal cases upon request

Partner with Legal to review and approve event liability waivers for various business groups

General HR Support

Stay current with changes in employment law and regulations through research and professional development opportunities

Translate complex legal updates into clear, concise guidance and communication for managers and affected employee groups

Develop and execute project plans to drive the implementation of required changes to policies, procedures, and systems by partnering with HR and business contacts

Partner with cross‑functional stakeholders (including Legal, HR, Payroll, and Operations) to ensure timely and effective compliance

Perform other administrative duties and special projects as assigned by the HR Compliance Manager

Respond to unemployment claims and prepare managers for attendance at unemployment hearings

Provide instruction and act as the primary liaison for onsite visitors from law enforcement or government agencies (e.g., DOD)

Conduct regular audits and maintenance of the HR Compliance team's internal Google site to ensure accurate information and links

Provide ongoing consultations to HR Support teams regarding employee relations scenarios, policy interpretation, and application of law

Education and Experience

Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred

A minimum of 2‑4+ years of experience in an HR administrative or coordination role, with exposure to compliance‑related functions

Skills and Qualifications

Basic knowledge of federal, state, and local employment laws and regulations (e.g., FMLA, ADA, FLSA, Title VII)

Exceptional organizational skills and meticulous attention to detail

High level of integrity and the ability to handle confidential and sensitive information with discretion

Demonstrated ability to build strong relationships and effectively influence a wide range of stakeholders, including cross‑functional teams, senior leadership, and external partners

Comfortable presenting in both in‑person and virtual settings with confidence and clarity

Skilled in presenting complex information clearly, aligning diverse perspectives, and driving consensus to support strategic goals and business outcomes

Proficiency with Google Workspace (Docs, Sheets, Slides, etc.)

Strong written and verbal communication skills

Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast‑paced environment

Proactive and resourceful problem‑solver

Salary Ranges Compensation: $63,150.00/Year – $90,000.00/Year
