Title: Sr. Administrative Assistant - Engineering and Marketing Job Type: Contract Contract Length: 6 months Pay Range: $35-38/hr Start Date: ASAP Location: Hybrid - San Jose, CA About the Opportunity Our client, a leader in Hi-Tech/Cloud Solutions, is looking for a skilled Sr. Administrative Assistant - Engineering and Marketing to join their team for a 6-month engagement. This project involves providing complex, proactive administrative support to optimize the time of executives (VPs and above) within the Engineering and Marketing organizations, requiring a high level of political savvy and discretion. This is a high-impact role that requires a self-motivated professional who can hit the ground running and deliver results quickly. Key Responsibilities & Deliverables Manage and maintain highly complex and changing calendars, scheduling appointments, meetings, travel, and organizational functions. Manage all incoming Purchase Orders (POs), creating, tracking, and working closely with vendors, finance, and the Engineering team. Compile, prepare, and process executive’s expense reports through the Expensify program and reconcile monthly credit card statements for the Engineering department. Act as the key liaison for the group, screening all incoming correspondence and using political savvy to filter and facilitate actionable items. Anticipate and/or identify needs and issues within the organization and proactively initiate and/or facilitate thoughtful solutions to optimize executive time. Required Skills & Experience Minimum of 5 years of experience supporting Vice Presidents (VPs) and above or equivalent working within a highly demanding fast-paced environment. Deep expertise in exceptional calendar management skills and advanced level MS Office suite (Word, Excel, PowerPoint, Outlook, Project, Google Drive). This isn't a learning role—you need to be a subject matter expert. Demonstrated ability to work autonomously, take initiative, and manage and oversee various projects from multiple management, while being highly proactive, detail-oriented, and self-motivated. Exceptional communication skills (verbal and written) and proven analytical skills with abstract problem-solving.
