Loan Documentation Specialist

Are you a detail‑orientated professional with a passion for precision in the lending world? United Bankers’ Bank (UBB) is looking for a Loan Documentation Specialist to join our Loan Operations team. In this critical role you will be the backbone of our documentation process by preparing, generating, and tracking loan packages while ensuring seamless integration with our accounting systems.

The ideal candidate will be located in the Twin Cities and will have the option to work a hybrid schedule in the office three days per week, Tuesday through Thursday, after the initial training period.

Essential Responsibilities

Prepare and generate new loan documentation, including promissory notes, security agreements, guarantees, participation agreements, renewals, extensions, and modifications, and prepare correspondence to accompany mailed loan documents.

Create new loan file/folder as required, enter collateral and insurance information, and set up pending collateral documents in Sageworks to track collateral and ensure final copies of documentation.

Enter loans into Jack Henry/Loan system, ensuring correct setup and adherence to note terms.

Track original loan documents.

Monitor paid loan history records, determine status and collateral needs.

Monitor weekly FF and Libor rates, and with the Senior Documentation position, notify the Loan department of any changes.

Maintain a list of contact names, send requests to add branch locations, and handle team requests to add loans to the secure file transfer system.

Maintain collateral safekeeping records; issue collateral receipts for new stock certificates and return receipts for released stock.

Maintain original note safekeeping drawers and perform yearly audits in collaboration with the Senior Documentation position.

Facilitate monthly system reports.

Sort and distribute daily mail.

Serve as backup for loan payments/advance requests.

Assist with the maintenance and tracking of construction loans.

Assist with monitoring and tracking real‑estate property tax information.

Pay Range

$27.30 – $30.77 hourly, depending on education, qualifications, and experience.

Annual bonus target: 5% of annual pay, dependent on company and personal performance.

Education & Experience

Associate’s degree in accounting or related field, or high school diploma plus equivalent work experience.

1–2 years of loan documentation experience, specifically with loan documentation generation/creation.

Commercial loan documentation experience preferred.

AS400/loan system experience preferred.

Excellent attention to detail.

Strong interpersonal skills and ability to communicate with all levels of employees and external parties.

Proficiency in Microsoft Office (Word, Teams, Excel).

Excellent written and verbal communication skills.

Problem‑solving skills.

Strong ability to work on multiple tasks/priorities and meet deadlines.

Knowledge of credit file setup, loan documentation review and follow‑up, and exception‑tracking software utilization.
