Position Summary

General Office Operations Support includes:

Entering data or performing word processing work in support of local office or function-specific business processes

Coordinating the logistics for office events

Coordinating the logistics for office moves (e.g., moving office furniture, packing files, etc.)

Providing back‑up support for reception/switchboard or the mailroom

Operating input devices to enter data and codes into digital files, forms, and databases

Maintaining logs of data entered

Monitoring data entry application screens for errors

May transcribe or code paper‑based source data into format required for data entry

Responsibilities Daily

Validating and approving invoices through SAP Workflow

Completing daily reports to include total hours worked, overtime worked, waste, and production numbers

Utilizing Intelex for safety incidents such as OSHA recordables, first aids, property damages and/or shock sensors

General office task such as dispersing interdepartmental and external mail to departments

Archiving teammate documents such as RTW, Jury Duty, CCC, etc.

Updating Performance Evaluation Tracker and appraisal matrix

Vendor management: Cintas, A&A, Newbold, Grainger, PPM, etc.

Weekly

Ordering and maintaining office supplies through appropriate vendors

Compiling and analyzing data to create and maintain reports and graphs for attendance, headcount, overtime, etc.

Uploading documents such as one‑point lessons, department forms, standards to the appropriate location

Managing Cintas invoices and assisting with replacing and repairing uniforms

Data entry for CL Control Points, ETO tracker

Working with ABM to distribute personal cards to teammates for birthdays, sympathy, get‑well cards, etc.

Completing the headcount and overtime report

Educating team members on use of personal computer and purchasing procedures; providing guidance on company policy; coordinating the distribution and tracking of One Point Lessons

Performing various clerical duties including mail, phones and correspondences; reviewing and aiding in processing payroll related issues on Monday and after each crew change

Maintaining Standard Practice, document control and business plan

Monitoring, maintaining and assisting in the development of budget information

Interacting with Purchasing, Accounting, HR and other operation departments

Coordinating interdepartmental and departmental oriented meetings

Updating Process Control Plan and Working Standards

Developing and maintaining various tracking systems (One‑point Lessons, certification status, organizational charts, HR coordinator charts, etc.)

Facilitating the flow of information and goal status to various support personnel and production team members

Monthly

Updating production charts

Updating the current year's budget spreadsheet with actual numbers

Ordering celebration items for teammate service anniversary

Updating ABM report with any safety incidents, budget info, total plant hours

Updating SQN Indicator Charts, Scorecard

Managing area office communication boards

Ensuring production tickets are delivered to warehouse for storage

Annual

Reviewing budget and targets with ABM

Communicating new coordinators and updating/requesting necessary access (Outlook, document access, etc.)

Working with HR to assist team members with vacation sell back, United Way, surveys, etc.

Miscellaneous

Teammate termination — delivering personnel and training files to HR, ensuring locker is cleaned out, ensuring uniforms are returned to vendor

New hire — entering service request, assigning teammates to crew and in Kronos, creating packets, updating all spreadsheets, setting up security profile

Removing/adding teammates to area Outlook distribution list and area specific spreadsheets

Posting area/plant announcements

Setting up vendor access for plant visit to department

Systems/Programs Used Microsoft Teams, Outlook, Workday, Kronos, Power BI, SAP, Intelex, AIK-Web, SMS, Safety IIP

Minimum Qualifications

Required: 2 years of administrative/clerical experience with proficient computer skills

Preferred: Associate's degree in business or related field and 1 year of clerical experience with proficient computer skills
