Leasing Coordinator
Speed Bay is seeking a detail-oriented and driven Leasing Coordinator to support the Leasing Manager across all aspects of the leasing function. This role serves as the operational backbone of the leasing teammanaging the full tour experience, handling lease administration, maintaining accurate records, and ensuring seamless coordination between prospects, tenants, brokers, and internal teams. The ideal candidate is organized, proactive, and eager to build a career in commercial real estate. Leasing Manager Support
Provide direct administrative and operational support to the Leasing Manager, including preparation of leasing proposals, LOIs, and lease abstracts. Maintain and update the leasing pipeline tracker, ensuring deal status, key dates, and activity notes are current and accurate. Support market research by compiling competitive availability reports, rent comparables, and vacancy data. Tour & Prospect Management
Coordinate all property tours, scheduling and confirming appointments with prospects, brokers, and property management staff; prepare tour packages including brochures, availability summaries, and floor plans. Conduct property tours independently or alongside the Leasing Manager, delivering a professional and engaging prospect experience. Track prospect inquiries and maintain the CRM/Yardi database with accurate contact details, tour notes, and deal progression. Lease Administration
Manage all lease administration functions, including preparation, routing, execution, and filing of leases, amendments, renewals, and extensions. Maintain a comprehensive lease abstract database tracking key terms, critical dates, and tenant obligations; input and maintain all data in Yardi. Collaborate with property management and accounting on rent commencement, TI allowance tracking, and new tenant onboarding. Monitor upcoming lease expirations and option deadlines, alerting the Leasing Manager in advance to support timely renewal discussions. Broker Coordination & Reporting
Maintain broker contact databases, assist with marketing material distribution, and process commission agreements and payment requests upon lease execution. Prepare weekly and monthly leasing activity reports summarizing pipeline status, tour activity, and deal velocity for the Leasing Manager and senior leadership. Skills & Qualifications Bachelor's degree in real estate, business, finance, or a related field preferred; equivalent experience will be considered. 13 years of experience in commercial real estate, property management, or leasing; industrial or multi-tenant experience a plus. Proficiency in Yardi or comparable property management/CRM platform strongly preferred; Excel proficiency required. Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities simultaneously. Excellent verbal and written communication skills; professional and personable in client-facing interactions. Valid driver's license and ability to travel to portfolio properties as needed.
