POSITION SUMMARY The Executive Director is the chief of staff and is therefore responsible for the day-to-day operations of the organization. He/she is responsible for the supervision of all staff members, programs, and technology. This position is also responsible for the receipt and payment of all bills of the Association.

ESSENTIAL FUNCTIONS

Oversee all volunteer committees to ensure that responsibilities are executed; policies are being adhered to and program topics are being developed. This function also includes the training of new volunteers and maintaining confidentiality of volunteer matters.

Oversee all financial management responsibilities including the payment of all bills, processing of credit card statements, depositing money, preparing financial statements, preparing payroll and signing company tax returns. Operation of professional accounting software system.

Responsible for Human Resource responsibilities including payroll, benefits, recruitment and employee evaluation. The Executive Director also reviews annual health insurance policies and retirement programs and conducts due diligence to research alternatives during the renewal period.

Work with Board of Directors in developing and implementing the strategic business plan components.

Oversee event planning process including working with vendors, negotiating contracts, soliciting sponsorship, work with volunteer committees, and serve as point person for all logistics of event.

Serve as Representative to the National Recreation and Parks Association and on Council of State Executive Directors.

Serve as advocate for the Association. This responsibility includes working on public policy that may impact the Association and the parks and recreation profession.

Develop new programs that would positively impact the Association and its members; research current trends within the parks and recreation profession.

Maintain web site; maintain online membership directory; research technological trends that may positively impact member benefits (i.e. online registration), Software as a Service.

Resolve escalated membership issues; provide exceptional level of customer service to members.

Maintain high level of confidentiality regarding member’s personal information and proprietary information of the Association.

KNOWLEDGE, EDUCATION AND EXPERIENCE REQUIRED

Bachelors Degree in related field

Two - four years relevant experience, preferably in non-profit and volunteer management or executive level decision making

Advanced computer skills; ability to learn new programs quickly

Knowledge on non-profit law and regulatory responsibilities of non-profit agencies.

Knowledge of state ethics laws and how they pertain to non-profit associations and their members.

Financial management experience, including the understanding of federal banking regulations

Knowledge of event/meeting planning; experience reviewing contracts

Valid Tennessee state driver’s license and automobile insurance

Certified Association Executive (CAE) or Institute for Association Management (IOM) preferred

Knowledge of parks and recreation profession.

SKILLS AND ABILITIES REQUIRED

Ability to read, analyze and interpret contracts, insurance policies and other legal documents.

Ability to write speeches, articles, draft policies and agreements and present information to top management, public groups and/or Board of Directors.

Ability to respond effectively to sensitive inquiries or complaints.

Strong interpersonal skills including conflict management, tact and customer service.

Ability to define problems, collect data, establish facts and draw valid conclusions.

Ability to negotiate with vendors.

Ability to multi task and move from project to project quickly.

Ability to troubleshoot and problem solve in a discreet, professional manner.

Ability to work with and direct volunteers who may also be your supervisor.

PHYSICAL DEMANDS/REQUIREMENTS

Typically sitting at a desk or table

Intermittently sitting, standing or stooping

Occasional lifting of light objects (less than 24 pounds)

Occasional lifting of objects weighing 25-50 pounds

Work is primarily performed in an office; work may also be performed in a hotel, convention space or park.

Overnight travel (up to 5 consecutive days at a time) may be required
