Position Overview The Director of Operations Administrative Assistant provides administrative support to the Director and departments within Facilities, Transportation, and Maintenance. This role involves performing routine secretarial tasks under moderate supervision while adhering to established policies, procedures, and USFR guidelines. Responsibilities include office administration, record-keeping, financial tracking, supply requisition, and public interaction. The ability to maintain confidentiality, exercise good judgment, and manage multiple tasks effectively is essential.
Key Responsibilities Administrative Support
Answer phones, take messages, and schedule appointments.
Prepare routine correspondence, reports, and student discipline forms.
Maintain organized filing systems for reports, records, and correspondence.
Assist with dispatcher duties as needed.
Perform custodial duties within the transportation lobby/office area as assigned.
Financial and Data Management
Initiate and process purchase order requests for each department.
Input work orders and financial data into the district's system.
Maintain a running balance and compile spending reports for each department.
Verify budget updates and financial reports for accuracy.
Requisition supplies for maintenance, custodial, and transportation needs.
Record Keeping and Compliance
Maintain transportation records, including student discipline forms, driver documentation, and fleet records.
Ensure accurate data entry and documentation of department activities.
Safeguard confidential information and comply with district policies.
Operate and maintain office equipment, including fax machines, scanners, and copiers.
Communication and Coordination
Provide assistance and respond to general inquiries from staff, students, and the public.
Work cooperatively with personnel across departments to ensure smooth operations.
Exercise sound judgment, self-direction, and professionalism in all interactions.
Qualifications Education & Experience
High school diploma or equivalent required.
1-2 years of office experience preferred.
Skills & Abilities
Excellent time management skills and the ability to multitask effectively.
Strong attention to detail and good math skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Excel, Word, and Google Suite (Gmail, Docs, Sheets, etc.).
Ability to work independently while managing multiple responsibilities.
Strong organizational skills and ability to handle frequent interruptions.
Certifications & Requirements
Must maintain confidentiality of sensitive information.
Valid Arizona driver's license may be required for job-related travel.
Valid IVP Fingerprint Clearance Card
Working Conditions
Work is performed primarily in an office setting.
May require occasional lifting of office supplies or records.
Requires interaction with students, staff, and the public.
