Senior Tender and Quote Specialist (all genders)
Implement and improve the Sales Support Process objectives and the day-to-day management of the sales support process ensuring consistent supply of high quality services.
You are part of the team based in Warsaw responsible for strategic support for the sales team.
1. Coordination and Management of Tender Processes
Comprehensive preparation of tender documentation, including bids for all business units and business lines (above EU thresholds), primarily in the area of medical equipment for procedures exceeding EU procurement limits.
Coordination of tender processes across multiple departments and stakeholders, ensuring data consistency, documentation compliance, and timely execution.
Creating and maintaining a complete tender register enabling effective management of complex, multi‑stage processes.
Setting priorities and overseeing the timeliness and completeness of bids within required deadlines.
Ensuring efficient communication with Key Account Managers.
Experience in coordinating activities related to potential proceedings before the National Appeals Chamber (KIO), including full preparation of evidence and communication with legal counsel.
2. Preparation of Offers and Documentation
Preparing offers for public and private customers, including performing pre‑offer activities (credit checks, delivery time updates, data verification).
Ensuring completeness, accuracy, and up‑to‑datedness of quality documentation and adjusting it to regulatory requirements.
Coordinating the bid approval process in dedicated tools, in accordance with applicable procedures and legal requirements.
3. Contract Management
Preparing contracts for public and private customers, including demo contracts and consortium agreements, often requiring advanced coordination among multiple parties.
4. Cooperation with Quality and Audit Departments
Collaboration with quality and audit teams regarding documentation related to medical devices.
You're the right fit if:
Graduate with Bachelor or Master degree (low will be appreciated)
Intermediate English is a must (both verbal and written)
3‑5 years of public procurement low experience, more appreciated from the current public procurement low
Tenders experience and expertise (medical devices and equipment preferred)
Project Management skills/experience required
Working in matrix organization experience preferred
Ability to inspire commitment, communicate and influence virtually
Strong influencing skills; convincing power
Very good communication skills and customer attitude
Self‑driven and pro‑active, able to work independently in virtual environment
Developed analytical thinking skills with an eye for detail
Computer literacy essential and experience in MS office applications
