Specialist, Leave and Disability Absence Management – Shared Services Center, Moore (Hourly/Entry Level, Full‑time)

Summary This role serves as liaison between the absence management vendor (Sedgwick), worker’s compensation TPA (Gallagher Bassett), and property leadership & HR regarding leave of absence (LOA). Responsibilities include managing colleague absence, disability accommodation (temporary & permanent), and return‑to‑work coordination across a designated portfolio of hotels/offices.

Essential Functions

Serve as the main point of contact for vendors and hotel/property leadership for all inquiries related to a colleague’s approved/denied absence, accommodation or return‑to‑work.

Administer out‑of‑scope colleague documentation (e.g., bonafide job offers).

Coordinate employment decisions with legal and local leaders in cases of colleague ineligibility, leave time exhaustion, or failure to return approved paperwork.

Coordinate the ADA interactive process between the colleague, vendor, and local leadership, including identification of potential accommodations and securing resources.

Facilitate return‑to‑work (RTW) and accommodation efforts through negotiation with local leadership and treatment providers, completing all related documentation and reporting.

Identify specific employment area requirements and recommend necessary adaptive equipment.

Proactively identify absence trends within the portfolio and work with local HR to address potential misuse of leave policy or accommodations.

Administer out‑of‑scope leaves such as domestic violence, stalking, or victims of crime that do not have supporting medical documentation.

Qualifications

Experience : 3+ years in absence management policy, procedure, and administration; prior experience with workers’ compensation claims, OSHA regulations, and reporting; proven ability to collaborate and influence operations leaders; experience across multiple markets/properties preferred.

Education : Bachelor’s degree in hospitality or a related field preferred.

Computer Skills : Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Forms).

Additional Requirements : Ability to work independently and remotely; embodiment of empathy, compassion, and care for colleagues; compliance with required high‑speed internet service for remote work.
